Position Summary:

This position provides general office support and backup support for Instructional Support Services, Room Scheduling, External Events, and the Faculty Center for Teaching Excellence. The role involves responding to emails, phone calls, and walk-ins, providing clerical support and assistance to adjunct faculty, faculty, staff, external customers, and students, with a strong emphasis on customer service. Additional responsibilities include managing room scheduling, coordinating external events, maintaining office equipment, tracking adjunct faculty needs, and supporting various administrative functions.
This position is scheduled Monday–Thursday, 10:45 a.m. to 6:30 p.m., with hours adjusted during specific times of the academic year while remaining at 29 hours per week.
Essential Duties and Responsibilities Include but Are Not Limited To:
Room Scheduling Support:

Assist with scheduling requests using 25Live software.

Communicate reservation details and suggest appropriate spaces.

Process room change requests and signage for academic classes.

Maintain scheduling procedures and web content.
Academic Scheduling:
-
Review and track changes to class schedules and faculty assignments.

Assign classrooms using scheduling software.

Ensure data accuracy between Colleague and 25Live systems.
Series25 Functional Administration:
-
Backup support for Series25 system management and reporting.
-
Assist users and troubleshoot software issues.
-
Coordinate event calendar accuracy and create reports as needed.
External Event Support:

Assist with planning and coordinating community-based events.

Manage contracts, insurance, invoicing, and event logistics.

Handle event conflicts, track events, and maintain documentation.
ISS Office Support:

Backup receptionist duties and front desk operations.

Assist adjunct faculty with workspace and mailboxes.

Maintain office supply inventory, equipment troubleshooting, and food pantry.

Create and send communications to adjunct faculty.
Faculty Center for Teaching Excellence Support:

Backup administrative support for professional development programs.

Process stipends and manage Adjunct Academy logistics.

Maintain FCTE web content and support grant processing.
Customer Service:

Serve as primary or backup receptionist for ISS, Room Scheduling, FCTE, and external events.

Provide office tours and assist with high-volume inquiries.
Teamwork:
Required Qualifications:

Minimum technology skills.

Associate degree or equivalent knowledge and skills.

1 to 3 years of position-related experience.
