This is a temporary position that provides coverage and support for the Dental Clinic Operations Specialist (DCOS) and the Dental Clinic Office Professional, ensuring comprehensive operational support for the Delta College Dental Hygiene Clinic and the Health and Wellness Division. This role is critical to student success, patient care, clinic compliance, and operational efficiency. The position follows CODA (Commission on Dental Accreditation) compliance, facilitates dental hygiene and assisting students’ clinical requirements, manages patient interactions, maintains HIPAA and OSHA compliance, oversees dental equipment maintenance, and provides clerical and administrative support to the Health and Wellness Division.
Essential Duties and Responsibilities Include but Are Not Limited To:
Dental Clinic Operations:

Assist in coordination of 60+ students' needs, including dental software training, patient scheduling, program requirements, and clinic protocol adherence.

Assist in training for students, faculty, and staff on dental software, scheduling, and clinic policies.

Open and close the clinic while ensuring infection control, radiology, and sterilization compliance.

Support students in community outreach by preparing materials and supplies.

Maintain documentation of patient treatment for accreditation purposes.
Communication:

Assist with communication between students, patients, faculty, and external dental professionals.

Clearly explain policies, procedures, and expectations to students and patients.

Support conflict resolution and compliance with HIPAA, FERPA, and CODA standards.

Monitor clinic protocols and address violations.
Patient Coordination:

Communicate with patients regarding appointments, procedures, policies, and payments.

Track patient treatment and ensure proper handling of dental records.

Facilitate communication with external providers and ensure strict adherence to HIPAA regulations.

Assist during medical emergencies and patient recruitment.
Budget & Inventory Management:

Assist in maintaining clinic inventory and ensuring timely ordering of supplies.

Track expenses and prepare financial documentation for accreditation.

Assist in patient billing, payment processing, and financial reconciliation.
Equipment Maintenance & Repairs:

Assist in ensuring proper function of dental units, radiology rooms, simulation labs, and sterilization equipment.

Troubleshoot and coordinate repairs.

Train faculty/staff on minor equipment issues.

Maintain repair logs to meet accreditation standards.
Health & Wellness Division Support:

Utilize technology for documentation, scheduling, and reporting.

Assist with managing student/faculty data and course material preparation.

Assist with office management, including supply ordering and equipment troubleshooting.

Serve as a point of contact for faculty, students, and public inquiries.

Assist with divisional events and provide confidential administrative support to faculty.
Required Qualifications:

3+ years of relevant dental office experience.

Strong organizational, communication, and problem-solving skills.

Proficiency in dental clinic software and electronic health records.
-
Familiarity with HIPAA and OSHA regulations.
