Position Summary:

The Administrative Assistant is a lead Office Professional and integral team member supporting office coordination and strategic enrollment areas within the Welcome Center (Admissions, Dual Enrollment, and Secondary Articulation). This role requires outstanding customer service, high technical ability, problem-solving, and follow-through to guide students through the enrollment process and connect them to campus resources.
The role also includes coordinating secondary contracts for Dual Enrollment, Early Middle College, and Articulation agreements, tracking enrollment processes, and supporting faculty, staff, and students. This position involves handling a high volume of calls and emails, maintaining multiple ongoing projects, and meeting tight deadlines, all while representing the college in a professional and welcoming manner.
Essential Duties and Responsibilities:
Secondary Contract Coordination:

Create templates and organize formal agreements with secondary school districts and career centers.

Track and maintain agreements, approvals, contacts, and data.

Collaborate with faculty, supervisors, and Registrar’s office to streamline intake and processing of credits earned in high school.

Verify agreements meet state mandates and compose related communications.
Additional Responsibilities:

Provide exceptional customer service via phone, email, and in person.

Develop filing systems and track multiple projects.

Retrieve and summarize information and prepare reports.

Coordinate events, meetings, agendas, and minutes.

Maintain departmental webpage content and outgoing communications.

Track scheduling requests and assist with partner coordination.

Manage office supplies, promotional materials, budget expenses, and facility work orders.
Supervisory Responsibilities:
Required Qualifications:
-
Associate degree required.
-
3–5 years of experience in an administrative role.
-
Excellent organizational, communication, interpersonal, and customer service skills.

Proficiency in Microsoft Office, Teams, Zoom, and the ability to learn specialized software (Adobe Suite, CRM tools, Webpage maintenance, Colleague).

Strong problem-solving and time-management skills.
