POSITION SUMMARY
The Office Professional provides administrative support to the TLC Manager and WRIT Center Coordinator, as well as the overall department. This position serves as the first point of contact for the Teaching & Learning Center (TLC) and WRIT Center, creating a welcoming and inclusive environment while coordinating academic referrals through the Student Support System.
Primary responsibilities include providing excellent customer service, scheduling meetings and appointments, entering academic referrals into the database, conducting student outreach and follow-up, troubleshooting inquiries, training and supervising student assistants, preparing onboarding and off-boarding materials, assisting with assessment projects and reporting, drafting requisitions, assisting with budget requests, and providing administrative support to department leadership.
This position serves as a departmental resource and requires broad knowledge of College and departmental policies, procedures, and operations. Success in this role requires outstanding interpersonal communication, organization, attention to detail, time management, and the ability to anticipate priorities while managing multiple assignments and deadlines.
The successful candidate must be dependable, self-motivated, detail-oriented, and committed to supporting student success.
Typical TLC Core Hours:
- Monday – Thursday: 8:00 AM – 6:00 PM
- Friday: 8:00 AM – 4:00 PM
ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO THE FOLLOWING
Administrative Office Support
- Provide administrative support for the TLC Manager and WRIT Center Coordinator.
- Deliver exceptional customer service at the TLC front desk.
- Serve as the primary contact for phone, email, and in-person inquiries.
- Maintain staff schedules, website pages, outreach requests, and draft social media content.
- Coordinate onboarding activities for new staff.
- Hire, train, supervise, and evaluate student employees.
- Maintain office supply inventory, prepare requisitions, and monitor department budgets.
- Attend departmental meetings and prepare meeting notes.
- Serve on institutional committees as requested.
Office Technology Support
- Set up and operate technology for meetings, workshops, Zoom, and Microsoft Teams sessions.
- Maintain departmental Google Drive and Microsoft Teams repositories.
- Utilize Microsoft Office and College systems including:
- CRM Advise
- TracCloud
- Outlook
- Colleague
- SharePoint
- CyberTutor
- Learn and implement new technologies and procedures as needed.
Learning Support
- Welcome students and connect them with appropriate learning resources.
- Conduct outreach for Student Support System referrals.
- Assist students in scheduling tutoring and learning support appointments.
- Refer students to additional campus resources when appropriate.
Other Duties
- Perform additional office support responsibilities as assigned.
Required Qualifications
- Commitment to the community college mission and student success.
- Dedication to serving students from diverse backgrounds.
- Associate's degree or equivalent knowledge and skills.
- At least one year of administrative or office support experience providing excellent customer service.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities.
- Intermediate to advanced technology skills, including Microsoft Office applications, scheduling systems, and student information systems.
- Ability and willingness to learn new technologies, systems, and procedures.
- Excellent interpersonal communication and collaboration skills.
Additional Experiences Considered
- More than three years of office-related experience.
