POSITION SUMMARY:
The Office Professional – Registrar's Office serves as the front desk representative for the Registrar's Office, providing exceptional customer service by phone, email, and in person, particularly during peak registration periods. This position processes student record changes, maintains confidential student records and databases, and performs a variety of complex administrative duties to ensure accurate and timely information for students, faculty, and staff.
This position serves as a key point of contact for student services and is responsible for processing record updates, assisting with transcript and credit evaluations, graduation and validation audits, and supporting the registration of dual enrollment students, student-athletes, and other student groups. Success in this role requires the ability to multitask in a fast-paced environment, utilize multiple technology systems, and maintain exceptional attention to detail.
The Office Professional will be cross-trained in multiple Registrar's Office functions as well as key Student & Educational Services (SES) operations. A strong understanding of FERPA, Solomon, and applicable state and institutional policies governing student records is required. Evening and occasional weekend hours are included.
Essential Duties and Responsibilities
- Serve as one of the primary front desk staff members, assisting students with registration, transcript requests, graduation information, validation requests, password resets, MFA assistance, and referrals to other departments.
- Provide high-quality customer service through phone, email, and in-person interactions.
- Resolve complex student concerns by coordinating with multiple campus departments and making appropriate referrals when necessary.
- Assist students in using Student Self-Service for registration, financial agreements, and financial aid processes.
- Monitor and respond to the shared registration email inbox while assisting with registration questions, add/drop requests, waitlists, and refund policies.
- Update student records and process Registrar's Office request forms including name changes, address changes, and program updates.
- Process registrations for all student populations, including student-athletes and dual enrollment cohorts.
- Process articulation credits, transfer credit evaluations, transcript evaluations, and related record updates.
- Complete initial graduation audits to verify degree completion requirements.
- Evaluate incoming credit from transfer institutions, Advanced Placement (AP), CLEP examinations, military training, CEUs, and other approved instructional credits.
- Assist with non-credit program processing as assigned.
- Maintain office organization, recordkeeping, and document scanning.
- Cross-train on Student & Educational Services functions to better support the student experience.
- Maintain confidentiality in accordance with FERPA regulations.
- Remain current on federal, state, and institutional regulations, policies, and procedures.
- Participate in departmental training, events, and special projects.

Required Qualifications
- Associate degree or equivalent knowledge and skills.
- One to three years of related experience.
- Demonstrated proficiency with Microsoft Office and the ability to quickly learn additional software systems.
- Ability to work efficiently in a fast-paced environment with frequent interruptions.
- Strong problem-solving, organizational, and time management skills.
- Excellent attention to detail and adaptability.
- Accurate and efficient data entry skills.
- Ability to collaborate across departments to resolve student concerns.
