Chief Deputy Register of Deeds

Duties:

• Manages daily operations of the Register of Deeds office and supervises departmental staff.
• Acts for the Register in their absence and supports all office functions.
• Performs clerical duties as needed, including document review and recording, receipting, customer assistance, searches, and telephone/email support.
• Participates in hiring, training, coaching, performance evaluation, and scheduling.
• Maintains training materials, assigns work, and resolves procedural questions or difficult customer situations.
• Manages accounting functions, including balancing accounts, processing deposits, preparing invoices and financial reports, and collecting fees.
• Reviews and approves timesheets, enters payroll, and maintains personnel records.
• Oversees office supplies and orders as needed. Directs and participates in database, server, and imaging system operations; troubleshoots hardware and software issues with Information Systems and vendors.
• Ensures accuracy of recorded information, enters corrections, and posts daily work to the permanent public record.
• Provides online services and assists with end-of-day balancing.
• Serves as liaison with other county departments and outside agencies and provides information on departmental policies and procedures.

Education and Experience:

• Bachelor’s degree or equivalent field related experience in business, public administration, office management in records, real estate, accounting, or finance and two years of experience with legal or land records, including prior supervisory experience; OR
• Associate degree in business or related field and four years of progressively responsible clerical experience in public administration, office management, real property records including at least two years of supervisory experience.

Special Requirements:

• Residency in Berrien County is required pursuant to MCL 201.3.
• Must possess and maintain a valid driver’s license with access to a reliable vehicle throughout the course of employment.
• Duties will require the ability to sit or stand for long periods, work extensively on a computer, and lift up to 15 pounds.

Required Knowledge and Skills:

• Demonstrable computer proficiency with Windows-based software and keyboard use.
• Capability of working effectively under stress, within deadlines, and in emergency situations.
• Strong attention to detail, with well-developed skill in communicating ideas and concepts orally and in writing.
