Position Summary

This position serves as the primary Administrative Office Professional for the Belonging, Equity, Diversity, and Inclusion (BEDI) Office while providing shared administrative and operational support for Athletics and other Student Educational Services initiatives.
The position is responsible for coordinating office operations, supporting student success initiatives, administering CRM Advise communications and workflows, assisting with technology systems, preparing reports, coordinating events, maintaining departmental records, preparing requisitions, supporting student-athlete administrative processes, assisting with Mentor Collective operations, and providing administrative support for departmental programs and initiatives.
This position serves as the primary operational resource for CRM Advise and other departmental technology systems, ensuring accurate communications, workflow management, reporting, and technology support across assigned functional areas. The position also provides exceptional customer service by serving as a primary point of contact for students, faculty, staff, and community members while fostering a welcoming, inclusive, and student-centered environment.
This position requires extensive knowledge of departmental and College policies, procedures, technology systems, and operational processes. The successful candidate must demonstrate strong organizational, communication, customer service, and problem-solving skills while effectively managing multiple priorities, maintaining confidentiality, exercising sound judgment, and meeting deadlines in a fast-paced environment.
Essential Duties and Responsibilities
Student Support and Customer Service
- Serve as a primary point of contact and resource for the BEDI Office by providing exceptional customer service to students, faculty, staff, and community members.
- Assist students with navigating Self-Service, CRM Advise, appointment scheduling, and other College technology systems.
- Respond to inquiries received through shared email accounts, office phones, and voicemail; answer general questions and route specialized inquiries to appropriate staff.
- Provide front desk support by greeting visitors, scheduling appointments, and connecting students with appropriate College resources.
- Assist with student follow-up by reviewing CRM Advise requests, assigning tasks to appropriate staff, documenting interactions, and requesting additional information when needed.
CRM Advise, Communications and Technology Support
- Serve as the departmental resource for CRM Advise, Microsoft Bookings, 25Live, Zoom, Outlook calendars, and related technology systems by maintaining processes, troubleshooting basic issues, and recommending workflow improvements.
- Coordinate CRM Advise communication campaigns by creating student populations and distribution lists, drafting and testing email templates, assembling communication plans, reviewing communications for accuracy, and launching approved communications.
- Build, maintain, and update CRM Advise events, Experience/MyDelta events, attendance tracking, automated workflows, communication plans, and follow-up tasks.
- Coordinate orientation and onboarding workflows by syncing student account information, assigning students to appropriate staff, creating follow-up tasks, and monitoring timely completion.
- Run weekly and periodic CRM Advise reports to monitor communications, referrals, task completion, event participation, and student engagement.
- Create and maintain Microsoft Bookings calendars, shared Outlook calendars, appointment scheduling, and staff availability.
- Coordinate CRM Advise user maintenance activities, including staff assignments, permissions, testing new workflows, and assisting with implementation of system enhancements.
BEDI, Athletics and Student Success Support
- Assist with planning and coordinating BEDI programs, trainings, webinars, Mentor Collective activities, and selected Athletics events.
- Coordinate participant communications, scheduling, logistics, reporting, and tracking for Mentor Collective and other student success initiatives.
- Support student engagement initiatives that promote belonging, equity, diversity, inclusion, engagement, and student success.
- Assist with collecting, organizing, tracking, and maintaining required student-athlete documentation, including transcripts, eligibility paperwork, academic progress documentation, and other required records.
- Coordinate communications related to student-athlete academic progress reporting by distributing reporting requests, monitoring completion, following up on outstanding reports, uploading completed reports, and maintaining tracking records.
- Assist with administrative preparation for student-athlete onboarding, orientation, and other Athletics initiatives.
- Assist with preparing materials, correspondence, and logistics supporting departmental programs, meetings, and activities.
Assessment, Reporting and Data Support
- Maintain assessment and participation data for BEDI programs, Mentor Collective, Athletics initiatives, and other departmental activities.
- Prepare and distribute daily, weekly, monthly, semester, annual, and ad hoc reports supporting CRM Advise, Athletics, BEDI, Mentor Collective, student engagement, academic progress, eligibility tracking, enrollment, and departmental operations.
- Compile data, maintain tracking spreadsheets, and assist staff with identifying trends and opportunities for continuous improvement.
- Record meeting notes and maintain shared electronic files, departmental records, and operational documentation.
- Prepare, validate, and distribute reports supporting operational decision-making while ensuring data accuracy and completeness.
Fiscal, Administrative, and Office Operations Support
- Prepare requisitions, purchase requests, payment documentation, travel-related paperwork, and other financial documents supporting BEDI and Athletics.
- Assist with maintaining departmental budget tracking reports and expenditure records.
- Maintain office supply inventory and coordinate purchasing of supplies and materials.
- Submit printing, facilities, room reservation, audiovisual, and information technology requests.
- Scan, maintain, and organize electronic student records through Etrieve and other document management systems.
- Maintain office procedures, operational documentation, and departmental records.
Student Assistant Supervision and Operational Support
- Assist with interviewing, onboarding, training, scheduling, supervising, and evaluating student employees.
- Coordinate onboarding activities for new staff, temporary employees, and student workers, including technology access and system permissions.
- Collaborate with Student Educational Services departments to support student success initiatives and improve operational efficiency.
- Assist with departmental projects, divisional initiatives, and other duties as assigned.
Required Qualifications
- Associate degree or equivalent knowledge and skills.
- Experience as an Office Professional, Administrative Specialist, or similar role.
- 1–3 years of position-related experience.
