Event and Administrative Coordinator
Position Overview
Our non-profit client is looking for a freelance Event and Administrative Coordinator to help their team. The Event and Administrative Coordinator will be responsible for helping with planning, organizing, and executing a variety of events while also providing administrative support to ensure the smooth operation of the office. This role is crucial for enhancing the overall efficiency of the organization and ensuring that events run seamlessly.
Details:
- Freelance through September with the possibility to extend or transition to full time
- Hybrid in Detroit, MI/Wayne County
- 40 hours a week
- Ideal start is May 1st
Key Responsibilities
- Provide proactive administrative support to the Executive Assistant, helping ensure they are well-equipped with the resources and information needed to carry out their responsibilities smoothly
- Planning, implementation and follow-up for all Agency events and associated activities, including; Assisting with event logistics, including venue research, vendor coordination, catering, and event setup/teardown
- Manage aspects of volunteer coordination, including but not limited to, staffing, recruitment, supervision, and acknowledgement.
- Managing calendars, scheduling appointments, preparing reports and documents, and handling correspondence
- Helping with the development and distribution of marketing materials, event promotion, and communication
- Additional support for Communications and leadership team as needed
Qualifications
- Proven experience in an administrative support and/or event coordination role for large corporations or events
- Reliable transportation to get to events
- Ability to help set up events
- Strong organizational and time management skills with the ability to handle multiple tasks and prioritize effectively
- Excellent written and verbal communication skills, with a professional and approachable demeanor
- Proficient in Google Suite, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools
- Ability to maintain confidentiality and exercise discretion when handling sensitive information
- Strong attention to detail, with the ability to anticipate needs and proactively address challenges
- Comfortable working both independently and collaboratively in a dynamic and team-oriented environment
- Enthusiastic, flexible, and eager to learn
In this position, you may have access to client or customer systems, confidential and/or proprietary information or data. This position is onsite and requires you to work closely with other individuals in a collaborative team environment.
