Job Summary:
We are seeking a dedicated and detail-oriented Administrative Assistant to support the clinical services at the University of Michigan. This role involves managing patient assets, scheduling, preparing correspondence, and assisting with faculty, fellows, and residents' administrative needs. You will handle complex tasks such as transcribing medical documents, coordinating with clinical partners, and providing support for departmental events and meetings.
Key Responsibilities:
- Provide advanced administrative support to the Dermatology Anatomic Pathology clinical services.
- Manage scheduling for clinical services, labs, and the Dermatology Service Calendar.
- Prepare professional correspondence, reports, manuscripts, and teaching materials.
- Assist faculty with the preparation of grants, abstracts, and articles.
- Support Dermatology Fellowship Director with fellow recruitment, onboarding, reimbursements, and offboarding.
- Manage calendars, schedule appointments, and coordinate travel arrangements.
- Assist with event planning and meetings with clinical partners and external customers.
- Efficiently transcribe consults and transfer cases using correct medical terminology.
- Handle phone calls, resolve inquiries, and receive visitors professionally.
- Collaborate effectively with team members to achieve departmental goals.
- Maintain inventory of office supplies and order as necessary.
Required Qualifications:
- Associate degree or equivalent education/experience required.
- Minimum of two years of administrative support experience.
- Proficiency in Microsoft Word, PowerPoint, Excel, and web-based applications.
- Strong written and verbal communication skills.
- Ability to work independently with minimal supervision while collaborating with a team.
- Excellent organizational and time management skills.

Required Immunizations:
- MMR (Measles, Mumps, Rubella): Proof of at least one MMR vaccine or documentation of immunity.
- Varicella (Chickenpox): Verification of vaccination or evidence of immunity.
- Hepatitis B: Documentation of the complete vaccination series or proof of immunity.
- Tdap (Tetanus, Diphtheria, Pertussis): Proof of vaccination within the last 10 years.
- TB (Tuberculosis): Proof of a negative TB skin test within the last two months.
