As a Unit Secretary, you will play a crucial role in supporting the smooth operation of a healthcare unit, such as a hospital ward, clinic, or medical office. You will provide administrative assistance to nursing staff, physicians, and other healthcare professionals, ensuring efficient communication and coordination of patient care activities.
Responsibilities:
- Greet patients, visitors, and staff in a friendly and professional manner, serving as the initial point of contact for the unit.
- Answer phone calls, take messages, and route calls to the appropriate individuals or departments.
- Schedule appointments, procedures, and tests for patients, coordinating with other departments as needed.
- Maintain electronic and paper medical records, including patient admissions, discharges, transfers, and updates to demographic information.
- Enter patient orders, laboratory results, and other data into the electronic health record (EHR) system accurately and in a timely manner.
- Compile and distribute patient care documents, such as nursing notes, physician orders, and treatment plans, to appropriate team members.
- Assist nursing staff with clerical tasks, such as filing, faxing, copying, and organizing patient charts.
- Coordinate patient transportation, including scheduling ambulance transfers and arranging escorts for patients as needed.
- Order and maintain office supplies, equipment, and forms for the unit, ensuring adequate stock levels at all times.
- Assist with admissions and discharges of patients, completing necessary paperwork and providing information to patients and families.
- Collaborate with other unit secretaries and healthcare professionals to ensure seamless communication and continuity of care.
- Follow privacy and confidentiality policies to protect patient information and comply with healthcare regulations.
- Participate in staff meetings, training sessions, and quality improvement initiatives to enhance unit operations and patient satisfaction.
- Perform other administrative tasks and special projects as assigned by unit leadership.
