Records Administration Specialist I:
Provide superior service while assisting members and employees to achieve financial security, their goals, and ultimately, their dreams.
Assists the Records Administration Manager in the day-to-day duties of the Credit Union's records management program
Maintain sorting and storing of checks and documents adhering to record retention policies
Sort, scan and index Credit Union documents using the imaging equipment and software accurately and efficiently
Perform procedures designed to implement the Credit Union's Records Information Management Program and Record Retention policy and procedures in accordance with applicable regulatory guidance
Assist with the Credit Union's records disposal processes, including both paper and electronic records
Assist with the development, organization, and maintenance of the Credit Union's records retention schedule to keep it current and maintain compliance with regulation and Credit Union policies
Assist with developing and maintaining records and information management policies, procedures and system documentation
Perform other duties and assist other employees, as assigned
Records Administration Specialist II:
All of Records Administration Specialist I duties and responsibilities
Perform all tasks consistently and accurately
Provide value-added recommendations for and assist with implementation of process improvement on an occasional basis
Demonstrate an above-average knowledge of Credit Union policies, procedures, and regulatory requirements affecting the items under review
Participates and provide input and feedback on various projects
Assist with identifying procedural and technical inefficiencies and recommends solutionsCreate and update department procedures and CU Info resources
Assist with leading team meetings
Identify changes to Credit Union processes, procedures, or regulatory requirements that will impact the duties of the department and proactively recommend updates to departmental processes and procedures to adapt to Credit Union changes in a timely manner
Senior Records Administration Specialist:
All of Records Administration Specialist II duties and responsibilities
Perform all tasks at an expert level
Provide value-added recommendations for process improvement on a regular basis
Assists the Records Administration Manager with training, recommendations for procedures and implementation of record retention inventory and retention program in each business area
Demonstrates an expert level knowledge of Credit Union policies, procedures, and regulatory requirements affecting the items under review
Assist management with various projects including investigating new and innovative records administration programs to provide a safe and sound environment for our members
Participates in the promoting and implementing of creative and innovative ideas and solutions for the Department and Credit Union
Support the Credit Union strategic direction and initiatives while helping others understand the purpose of decisions and direction
Create and update department procedures and CU Info resources
Assist with inventorying records, researching retention requirements, studying needs and system processes, and preparing lists, analyses, and reports in accordance with Credit Union needs, requirements and records and information management best practices
Assist with developing and presenting records and information management education programs for Credit Union employees and provide consultative services on records and information management activities and inquiries
Stay current on state and federal records and information management law, Credit Union records requirements, and current technology applicable to records and information management and related technology
Identify opportunities for gaining efficiencies through the use of technology, and communicate those opportunities to management
Knowledge, Skills, and Abilities Required
Records Administration Specialist I:
High school diploma or equivalent required
Knowledge of the records management program and records management systems
Strong interpersonal skills
Excellent time management skills
Grammatical and typing skills with an emphasis on accuracy
Reliable and dependable
Attention to detail
Conflict resolution skills
Works well in a team environment
Strong personal commitment to quality, customer service and member security
Demonstrate excellent quantitative analytical skills
Must possess high level of sensitivity and confidentiality

Records Administration Specialist II:
All of Records Administration Specialist I knowledge, skills, and abilities
Completion or pursuit of Bachelor's degree preferred
General knowledge of producing metrics and building reports
Excellent written and verbal communication skills
Ability to establish and maintain harmonious team-oriented working relationships with co-workers, and external contacts, and work effectively in a professional team environment
Ability to use independent judgment, discretion and take initiative in absence of specific direction from management
Ability to take on increasingly complex duties and perform them to a satisfactory level
Strong project management skills
Ability to analyze and resolve increasingly complex problems at a satisfactory level
Advanced level of proficiency using Microsoft Excel or working toward such proficiency
