Job Description
POSITION PURPOSE
Under the direction of the management staff, the Administrative Assistant provides support and assistance to project management and employees at the plant. Administrative Assistant is responsible for front office duties pertaining to customer payments, questions, issues and responding accordingly.
PRIMARY DUTIES / RESPONSIBILITIES
Able to act and respond in a professional, detailed and mature manner and must be confidential
Provide excellent service by maintaining positive relations with all customers. This may include, but not limited to assisting with resolving questions, inquiries and/or issues.
Perform routine administrative duties such as processing mail, handling incoming phone calls, scheduling customer appointments and dispatching service personnel.
Collection and processing of payments from customers/vendors in person, phone, online, bank drafts with entry to billing software and other programs. This includes daily accounting reconciliation.
Dealing with delinquent account management.
Contacting customers to alert of account or consumption/usage issues.
Timekeeping and expense entry for the project and employees.
Processing payment requests and requisitions for the company/project.
Provide support and assistance to the client and management team.
Answering phones for customer questions, issues, payments.
Maintain Veolia HR and Safety related policies and training.
Run reports such as water consumption reports, month end reports using various company software and billing platforms.
Maintain office cleanliness and organization.
Ordering/purchasing office supplies as well as other items/equipment as needed.
Completes other tasks as assigned.
Support projects, administration of various programs and processing as needed.
Qualifications
Education / Experience / Background
High school diploma or equivalent
Valid Driver's License in state of residency and the ability to meet risk management guidelines
Preferred: 2 to 3 years experience in an office environment
Experience working with customers and team atmosphere
Knowledge / Skills / Abilities
Must demonstrate effective oral and written communication skills with good vocabulary, good grammar and the ability to independently compose routine written communications. Good telephone etiquette.
PC skills with working knowledge of Google and Microsoft software programs. Ability to maintain spreadsheets and modify formats in order to complete assignments.
Must demonstrate ability to pay close attention to details, and present good planning, organization, and time management skills.
Must be able to work effectively with interruptions and meet or exceed production and quality goals. Ability to handle confidential or sensitive information or issues.
Must demonstrate ability to work in a team environment and willingness to assume additional or new responsibilities readily.
