Summary The Battle Creek VA Medical Center is recruiting for a Supervisory Medical Support Assistant. The Supervisory Medical Support Assistant will function in the Community Care Service. Responsibilities This position serves as the Supervisory Medical Support Assistant (MSA) for the Administrative Support section of Office of Community Care, organizationally aligned under the Associate Director. The purpose of the work encompasses supervision and management of all administrative staff responsible for community care coordination and scheduling for Battle Creek, Michigan VAMC. Incumbent is responsible for the overall administration, management, and supervision of the Administrative Support section of Office of Community Care. The Supervisory MSA plans, directs, and monitors work assignments, evaluates the work of subordinate MSA staff, resolves daily workplace issues and maintains efficient workflow in an interdisciplinary, coordinated care delivery model within the Office of Community Care Section. Assignments include, but are not limited to: Assuring coverage in all areas of responsibility Conducting ongoing reviews to ensure high quality work; ensuring active and timely scheduling of community care appointments Providing guidance and direction to subordinate staff members distributing and balancing workload; creating and maintaining employee work schedules; orienting and providing training to new and current staff Acts as a liaison between the Office of Community Care Administrative Support section and staff in order to resolve day-to- day conflicts. Incumbent has full administrative and professional responsibility for planning and directing the Administrative Support sections daily activities. Work Schedule: Monday thru Friday 8:00am-4:30pm. Hours may be extended or rotated based on the needs of our Veterans and Medical Center. MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.j. Grade Determinations: Supervisory Medical Support Assistant, GS-8 Experience. One year of experience equivalent to the GS-7 grade level leading or supervising MSAs or equivalent administrative patient support staff in a non-VA medical inpatient, outpatient, or interdisciplinary setting. Demonstrated Knowledge Skills and Abilities. In addition, the applicant must meet demonstrate all of the KSAs below. i. Ability to provide the full range of administrative and supervisory duties to at least one subordinate MSA supervisor or team leader in a patient support setting which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements. ii. Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations. iii. Ability to provide briefings, orientations, staff development, and training in a patient support setting. iv. Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs. v. Advanced knowledge of managing or leading patient support staff in a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment. Physical Requirements: The work is primarily sedentary, although some walking, bending and light lifting may be required. The incumbent is located at an on-site location in a typical office setting within Office of Community Care. The work area is adequately lighted, heated, and ventilated.
