Summary This position is located in the Health information Management Section/Patient Administrative Services at the Oscar G Johnson Department of Veterans Affairs Medical Facility in Iron Mountain, MI. Responsibilities NOTE: This is a TERM appointment (not-to-exceed 3 Years). Term appointments are non-status, nonpermanent appointments of limited duration. The primary purpose of the file clerk position is to maintain, file, index and scan patient medical records, along with general clerical duties: Retrieving records using a combination of computer-based patient treatment history and historical record transactions i.e. to deduce locations of hard-to-find records, references computer system, patient locator cards, when initial searches have been unsuccessful. Utilizing a computer to perform a wide variety of record keeping i.e. correspondence, tracking operations, timely filing, retrieval, and clerical duties associated with the retention, maintenance, disposition, guardianship and control of health records in both terminal digit and alphabetic filing systems. Reviewing documents for appropriate scanning criteria for health/administrative information meeting the criteria to be integrated into computer system through the computer scanning software and hardware. Processing health record transfer requests to other facilities when electronic health information is not adequate and/or maintains a control system to assure that health records transferred to other facilities are recorded into computerized record system. Utilizing computerized record system and manual review of patient record activity for full inactivation and transfer to the storage or other approved off-site storage facility. Performing the scanning and/or indexing process to confirm record integrity and reviews the image quality in the computerized record system. Copying records when requested by Release of Information for release to various requestors in accordance with established guidelines. Performing other duties assigned as it relates to the position. Additional Information Physical Requirements: The work with computers is mainly sedentary in an office environment. Paper records retrieval, filing, and management involve standing, bending, reaching, lifting stooping, pulling and physical exertion. Some work requires packing boxes (whose weight will typically exceed 20 pounds) and otherwise preparing records for shipment. Work is performed in a well-lighted; temperature controlled and ventilated office setting, utilizing computer and other automated equipment. Work will also be with paper records and may have occasional exposure to possible accumulations of dust and particulate matter in the air, carpet and office. Receiving Service Credit for Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee.
