The Ontonagon County Treasurer's Office is accepting applications for the position of Deputy Treasurer.
Under the supervision of the County Treasurer, the Deputy Treasurer collects money for property taxes, provides information regarding tax matters to the public, and researches the tax history of property. Performs a variety of other functions related to the processing and maintaining of tax records, databases, and other files. Assists with the settlement procedures between the County and local tax units and prepares delinquent tax rolls. Collects receipts and properly accounts for funds received by the Treasurer's Office, and performs a variety of other functions related to the accounting activities of the Treasurer's Office.
Essential Functions
- Provides information by telephone, in person and by email to taxpayers and others concerning the tax status of County property. Provides information concerning taxes due, taxes billed, taxable value, millage rates, etc. Explains and clarifies the tax collection process to the public. Forwards name/address changes to the appropriate department.
- Utilizes tax database to process and maintain delinquent tax records. May include troubleshooting tax software. Maintains various database settings in order for proper assessment of fees/penalties/interest on delinquent tax records.
- Certifies deeds which includes checking tax history and determining if the legal description on deeds is the same as on tax database.
- Calculates all changes made by the Michigan Tax Tribunal and Board of Reviews and disburses refunds if necessary.
- Assists in balancing the delinquent tax records, reconciliation of various accounts, settlement procedures between the County and local taxing units, including transfer of data to county database and working directly with local units of government on settlement-related issues and produces delinquent tax rolls for the county.
- Responsible for collecting, receipting large amounts of money, i.e., delinquent taxes, tax payments from local, state and federal units, and transmittals from every County department.
- Responsible for bank reconciliations for checking accounts.
- Open and processes mail, including payments, letters and other correspondence.
- Assists in the daily balancing of the cash drawer at the end of the day.
- May open and close work area, safe/vault and make certain security precautions are continuously taken.
- Performs other duties and tasks as instructed by the County Treasurer.
Qualifications:
- Must be computer literate with MS Office (Word, Excel) and skilled in the use of calculators and standard office machinery. Experience with BS&A or other accounting software preferred.
- Knowledge of modern bookkeeping practices and procedures. Familiarity with the statutes and requirements pertaining to taxation in the State of Michigan.
- Ability to work under time constraints and with frequent interruptions.
- Ability to tactfully and courteously deal with the public and work with a wide variety of people.
- Must have strong organization skills.
- Must have strong written and verbal communication skills.
- Ability to work effectively with other officials, employees and the general public.
- Ability to lift and move tax rolls and other books weighing up to 25 lbs.
- Periodic prolonged sitting at computer terminal.
