The individual in this role will successfully perform several duties focused on maintaining, processing, and managing business records and information:
Key Responsibilities
Invoicing and Bookkeeping:
Generate and issue invoices to customers accurately and promptly.
Record and maintain accurate financial transactions, encompassing accounts payable and accounts receivable.
Maintain the general ledger and organize financial records using accounting software.
Assist with bank reconciliations and complete end-of-month reconciliation procedures.
Customer Service and Communication:
Serve as a primary point of contact for customers and vendor inquiries via phone and email.
Provide timely order updates, answer questions, and resolve issues professionally.
Collaborate closely with other team members to ensure customer needs are met efficiently and accurately.
Order Processing and Data Entry:
Process customer orders efficiently from initial entry to final fulfillment.
Perform meticulous data entry into company databases and spreadsheets, reviewing all information for errors or inconsistencies.
Collaborate with the sales and quoting departments to ensure seamless order management.
Administrative Support & Team Collaboration:
Provide essential general administrative support to various departments (shipping/receiving, repair shop, engineering, and sales).
Assist with general office functions and special projects as needed.
Work cooperatively within a small team environment to support daily operations and achieve company goals.
Qualifications
Experience: Proven experience in an administrative, bookkeeping, or accounting assistant role is required.
Technical Proficiency: A strong understanding of basic accounting principles and bookkeeping practices. (CDWdrives will provide specific software training).
Skills: Excellent communication (verbal and written), phone etiquette, and computer skills are essential.
Attention to Detail: Meticulous attention to detail and a high standard of accuracy are critical for success in financial administration and data entry.
Organizational Skills: Strong organizational and time-management abilities to effectively handle multiple tasks and deadlines in a fast-paced environment.
