General Purpose of Job:
Performs a variety of professional secretarial and administrative support functions to aide the VP/CHRO and HR Directors in the effective and efficient flow of work duties within Human Resources.
Essential Duties:
This job description is intended to cover the minimum essential duties assigned on a regular basis. Caregivers may be asked to perform additional duties as assigned by their leader. Leadership has the right to alter or modify the duties of the position.
- Produces a variety of correspondence, forms, tables, charts, reports and summaries from various sources including executive dictation, notes, committees, meetings etc.
- Receives, produces and maintains documents that contain highly sensitive and confidential information.
- Receives, screens and directs incoming mail, phone calls and visitors, handles some matters personally and forwards needed matters on to VP/CHRO, HR Directors, or appropriate individual.
- Prepare responses to routine inquiries and do follow-up to ensure items are handled.
- Compose, review and edit documents on behalf of the VP/CHRO and HR Directors as needed.
- Acts as liaison between VP/CHRO, HR Directors, and patients, Caregivers, physicians, board members and external groups.
- Manages and communicates calendar and daily schedule.
- Coordinates arrangements for professional conferences, seminars, and team meetings.
- Orders supplies and maintains records related to Human Resources purchase orders.
- Regularly interacts with a variety of organizations, community leaders and other individuals who are influential or important to the Health System.
- Determines issues which VP/CHRO and HR Directors need to be made aware of and communicates them in an appropriate manner.

Work Experience |
• Minimum of 3 years Administrative Assistant experience • Experience using a Human Resources System software (Lawson or PeopleFluent) preferred |
Education |
• Associates Degree in Office Administration or related field and or equivalent work experience. • Bachelors Degree preferred |
Specialized Knowledge and Skills |
• Excellent computer skills (MS Office). • Be able to work with minimal direction. • Be able to think creatively and calmly when it comes to quick and unplanned changes. • Be self-motivated, responsive, and proactive around the needs of the VP/CHRO and HR Directors. • Strong public relations skills with the ability to interact efficiently and effectively with a wide variety of individuals. • Excellent verbal and written communication skills including the ability to communicate with all levels of leadership and caregivers. • Able to make sound independent judgments. • Able to multi-task and prioritize while receiving frequent interruptions. • Able to build and maintain positive working relationships with co-workers and other caregivers. • Well organized. • Strong attention to detail. • Minimum typing of 60 wpm. |
