Job Description Summary
Support the academic advisors by interpreting and communicating academic and curricular policy changes, answering degree audit questions, maintaining the academic advising website, and communicating to students regarding graduation. Award degrees and process diplomas. Oversee the annual policy updates to the undergraduate catalog. Assist with commencement planning. Oversee the curriculum change and graduation application processes.
Essential Duties & Responsibilities (other duties may be assigned)
• Answer questions and interpret policies for academic advisors; support advisors with policies and procedures related to degree requirements and graduation
• Oversee process related to degree services and graduation; audit degree requirements, award degrees, maintain student outcome records, print diplomas, and prepare the Board of Trustees conferral report
• Notify students who intended to graduate when they fail to meet degree requirements; maintain file of correspondence with the student
• Communicate with expected graduates regarding graduation requirements and degree completion
• Manage online undergraduate applications for graduation
• Onboard new advisors and maintain advisor access to University applications
• Communicate policy changes to advisors, assist with interpretation
• Develop and maintain advising resources such as the advising Google Site (AdvisorHub), university-wide advising forms, and the advisor list-serv
• Maintain major and minor advisor lists online and in Banner
• Oversee online curriculum change (add/drop/change of major or minor) submissions; resolve workflow issues
• Oversee the annual maintenance/updates of the undergraduate catalog
• Process degree verifications in the National Student Clearinghouse and submit degree files to the NSC upon completion of degree awarding process
• Process duplicate diploma requests
• Serve as the registrar's office primary representative for the commencement committee; provide data, attend commencement practices and ceremonies
• Establish the undergraduate seating chart and walking order for commencement; work with University Marketing and Communications to post the online interactive seating chart; print signs and line-up lists for walking order and post them in the commencement staging area
• Serve on the Advising Council and other committees as requested
• Commit to learning about continuous improvement strategies and applying them to everyday work. Actively engage in University continuous improvement initiatives.
Required Education, Certifications, Licensures (minimum requirements)
- Bachelor's degree from a regionally accredited institution or combination of education and experience from which comparable knowledge can be acquired
Required Experience (minimum requirements)
- Experience working in a support role in a professional environment
Desirable Education and/or Experience
• Professional work experience in a registrar's office or related administrative office in higher education
• Experience working with Banner and/or uAchieve
• Experience interpreting policies and communicating policies to a wide range of constituents
