About the Opportunity
A well-established organization in the facilities, construction, and service industry is seeking a Service & Billing Administrator to support its growing service operations team. This position is ideal for someone who enjoys balancing customer interaction, administrative coordination, and billing responsibilities in a fast-paced environment.
The Service & Billing Administrator will play a key role in ensuring service work is accurately documented, invoiced, and communicated across customers and internal teams. Success in this role requires strong attention to detail, excellent organization, and the ability to manage multiple priorities throughout the day.
Key Responsibilities
Generate invoices for completed service and project work
Review service tickets, work orders, and technician documentation for billing accuracy
Verify labor hours, materials, purchase orders, and pricing prior to invoice processing
Coordinate with service coordinators and operational teams regarding completed work
Respond to customer inquiries related to invoices, billing documentation, and account questions
Maintain customer records and service documentation
Track open billing items and assist with issue resolution
Support accounts receivable activities and collection-related inquiries
Prepare weekly and monthly billing reports
Enter and maintain accurate data within internal systems
Assist with contract administration and customer account management
Answer incoming phone calls and emails from customers and internal stakeholders
Provide administrative support to service leadership and operations teams
QualificationsRequired
2+ years of experience in administrative support, billing, invoicing, customer service, service coordination, or project administration
Strong proficiency with Microsoft Office, including Excel and Outlook
Excellent organizational and multitasking skills
Strong attention to detail and accuracy
Professional written and verbal communication skills
Ability to work effectively in a fast-paced environment
Ability to work fully onsite
Preferred
Experience within HVAC, construction, mechanical services, facilities management, transportation, logistics, or field service environments
Experience with ERP, service management, dispatching, or accounting systems
Experience reviewing work orders, purchase orders, and invoice documentation

This is a Contract to Hire position based out of Livonia, MI.
Pay and Benefits
The pay range for this position is $22.00 - $25.00/hr.
