Position Summary

The Administrative Assistant/Assistant Human Services plays a key role in the daily operations of our counseling practice. This position is responsible for managing administrative tasks, coordinating client communications, scheduling appointments, and supporting the overall efficiency of the office.

Responsibilities

Answer and direct phone calls, emails, and client inquiries professionally and confidentially
Schedule, confirm, and manage client appointments
Maintain accurate client records and update information as needed
Assist with insurance verification and billing-related administrative tasks
Welcome clients and help create a warm, supportive environment
Manage office supplies and general office organization
Process paperwork, forms, and documentation
Support clinicians with administrative needs
Ensure compliance with HIPAA and confidentiality requirements

Additional Requirements

Previous administrative, office support, or customer service experience preferred
Experience in a healthcare, counseling, or medical office setting is a plus
Strong organizational and time-management skills
Excellent verbal and written communication skills
Proficiency with Microsoft Office, Google Workspace, and scheduling software
Ability to handle sensitive information with discretion and professionalism
Friendly, compassionate, and client-focused demeanor
