The Parish Administrative Assistant position is part-time position not to exceed 30 hours per week. Monday-Thursday, 9:00 am - 3:00 pm. 24 hours of accumulated PTO, Paid Federal Holidays
This position provides administrative and clerical support to Pastor, staff, council, volunteers, and congregation. The Parish Administrative Assistant is responsible for maintaining parish records, preparing publications both printed and website updates, coordinating communications, and ensuring the efficient operation of the parish office.
Primary Essential Duties:
- Prepare and print weekly worship bulletins, update church calendars - both website and printed newsletter
- Maintain parish directory and sacramental/membership records and prepare certificates (baptism, confirmations, marriages, deaths, transfers).
- Draft correspondence, photocopy/distribute documents, and respond to information requests
- Record and distribute minutes of annual parish meeting, collect/print annual reports; maintain council records and other weekly parish record keeping tasks
- Greet visitors, answer telephone calls, and manager office communications
- Monitor and order routine parish supplies and support event logistics, as required
- Perform additional administrative duties as assigned by the Pastor and council leadership
- Back-up accounting functions, as needed
Education Requirements:
- High School diploma required; additional education preferred
Experience Required:
- 1-2 years of office, administrative and record keeping experience preferred
- Proficiency with Microsoft Software, specifically Word, Excel, and Publisher (or similar publishing software), Group/Constant Contact email, and document/database management
- QuickBooks or Quicken Software (preferred, not necessary)
- Strong written and verbal communication with attention to detail
- Accuracy in taking minutes of meetings, notes, telephone, and document preparation

- Typing and proofreading proficiency
- Ability to learn parish proprietary software

- Basic knowledge of church practices
- Familiarity with social media platforms and website management or a willingness to learn
