Position Title ADMINISTRATIVE OFFICE ASSISTANT III
Position Summary
Serves as the office specialist for the College of Education and Human Services Office of Educator Preparation Proprams (OEPP), coordinates development and monitoring of the teacher education data management system, supports assessment, data collection and accreditation for the Educator Preparation Programs (EPP).
Required Qualifications
High school diploma or GED.
Four years of qualifying experience or a combination of education and experience that equates to four years.
Experience with Microsoft Word.
Customer service experience.
Spreadsheet and/or database experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Preferred Qualifications
Knowledge of specific software programs and/or mainframe/systems skills (i.e., Excel, Access, Watermark).
Experience with SAP.
Experience in an academic setting, data analysis.
Duties & Responsibilities
Coordinates the educator preparation data management system, (including Student Learning and Licensure (SL&L) by Watermark, Go React by Echo360, Qualtrics, etc.), for all educator preparation programs across the university, in coordination with the director of educator preparation or their designee, to ensure all accreditation requirements are met.
Carries out the development of folios within the data management system for designated courses and teacher candidate admission which includes rubric building, assignment structure, evaluation structure, and the enrollment of users (i.e., teacher candidates, cooperating teachers, university coordinators, faculty, and staff).
Communicates with program leaders to ensure all assignments are completed and evaluated within the data management system.
Provides customer service and support to teacher candidates, cooperating teachers, university coordinators, faculty, and staff on the use of the data management system.
Develops and disseminates necessary training guides to support teacher candidates, cooperating teachers, university coordinators, faculty, and/or staff as needed.
Monitors, creates, and/or deactivates teacher candidate licenses for active and non-active users within the data management system, as needed.
Supports demographic coding for teacher candidates within the data management system in collaboration with the office's other Administrative Office Assistant III.
Coordinates and completes assessment reports that support accreditation and provides support in the development of the annual data pack for all educator preparation programs.
Performs data manipulation, information searches, and retrievals using knowledge of technical databases (e.g., SAP or Data Warehouse).
Exercises initiative and independent critical problem-solving skills in the execution of duties and responsibilities.
Collaborates with members of the team to improve operational efficiency and effectiveness of office procedures, utilizing regular reviews to inform updates.
Serves as the main administrative support to the Educator Preparation Programs coordinator for teacher education admissions, including coding of new admits and planning admission events.
Serves as a recording secretary for Educator Preparation Programs committees as needed.
