The Organization Overview
Fleece & Thank You, a Michigan-based non-profit organization, is dedicated to providing connection, comfort, and hope through its programs, services and materials to children facing illness and their families supporting them. Our signature program is our blanket-making event. We host over 400 blanket-making events every year to help us achieve our goal of making 30,000 fleece blankets, one blanket for every child in MI that goes into the hospital for inpatient treatments. Every blanket we provide also has a personal video message attached to it from the blanket maker to the recipient in the hospital, who can then send a “thank-you” message back to the maker.
Director of Operations
The Director of Operations (DoO) role is a key member of the senior management team. The DoO assists in the major areas of internal operations, project management, external event operations, communications, and administrative responsibilities.
Internal Operations
- Manage the blanket kit manufacturing/production process to ensure project quantity is met.
- Be the main point of contact for manufacturing outsourcing partners for additional cutting support.
- Work with the Development/Sales team to schedule and prep custom orders for partners.
- Work with Blanket Operations Coordinator (BoC) and Volunteer Coordinator (VC) to ensure warehouse shifts run smoothly, efficiently, and that resources are assigned accordingly.
- Manage ecommerce orders in FTY’s ERP system and respond to customers with order change requests.
- Assess current processes and identify areas for improvement.
- Create process documents for FTY Operations Manual.
Leadership
? The DoO will be a second signer to the Executive Director on the organization bank account. The DoO will have access to the bank account via the mobile app and online desktop dashboard account and will be able to deposit checks for the organization using the mobile app. The DoO will receive a company credit card to use for company expenses, as approved by the Executive Director. All receipts will be saved and tracked for these expenses.
? The DoO will supervise 2-5 part time Cutting Crew team members, the BoC and VC, and the FTY Customer Service Support team member. He/She will conduct weekly or bi-weekly meetings with both the BoC and VC to stay up to date with one another and manage performance. He/She will occasionally oversee a Special Events Project Manager as needed.
- Staff Representative for FTY Operations Committee that is made up of ED and respective board members. He/She will conduct regular meetings with the committee for status updates and board engagement/support.
Fundraising - Special Events
? Oversee and lead internal operations of special events, including our annual Golf Outing and Make A Blanket Day. He/She may or may not collaborate with the FTY Special Events PM for them to lead all PM duties of the project.
- Work with Director of Development to assist where needed in fundraising operations support. (I.e. implement a grant application process, discuss additional technology needs, etc.) .
Project Management
- Event Coordination & Logistics Support
- Assist Executive Director and Corporate Relations Lead with running the “set-up” process from start to finish for Blanket Events. This includes taking confirmed events through set-up all the way to post-event follow up and tracking the event in the ERP system, Netsuite.
- Assist ED in Hospital Outreach and Coordination in inconjunction with the Volunteer Hospital Support Coordinator
- Project portfolio creation (all organizational projects)
- Taking notes at all relevant meetings, reporting out to group with action items as needed
- Main POC for all F&TY Student Organizations. The DoO will onboard new executive board organization members and coordinate respective on-campus or virtual blanket events. All F&TY Student Organizations will facilitate on campus events, but the DoO will help internally to get them set up.
Admin/Organization
- Assist Customer Service Coordinator with inbound calls to organization
General Team Member Duties
- Deliver blankets, cut fleece, heat press, roll kits, assist in cleaning warehouse, pick up finished blankets from events or drop off locations, deliver blanket kits as needed, and other duties as assigned.
- Position is hybrid of remote and in-person. In-person days at the office are Monday and Wednesday from 9a-5p and Thursday from 9a-2p. Tuesday and Friday are remote as well as Thursday from 2p-5p.
Required/preferred experience and education:
- 1+ Year of managerial experience
- 1-2 Years of previous experience in a non-profit organization
- 1+ year experience in Communications & Social Media Role
- Experience in Business Administration, Project Management or other related functions
- Valid Driver’s License required
