POSITION SUMMARY:
The document preparation specialist (temporary) is responsible for preparing physical paper documents for scanning, archiving, or digitization. This includes removing staples, paper clips, sticky notes, and other fasteners; organizing papers; and labeling materials according to established guidelines. The role requires strong attention to detail, organization, and the ability to follow precise procedures.
ESSENTIAL DUTIES:
- Open boxed or filed documents and prepare them for processing.
- Remove staples, paper clips, binder clips, tape, sticky notes, and other fasteners without damaging documents.
- Straighten, flatten, and align pages to ensure they are ready for scanning or archiving.
- Separate or batch documents based on established categorization rules.
- Apply and/or scan barcode(s), separator sheets, or classification labels as required.
- Label documents, folders and batches accurately according to company project requirements.
- Verify that all labels match job instructions and are placed correctly.
- Inspect documents for tears, folds, or damage and made necessary minor repairs (e.g. taping small tears).
- Ensure documents are complete, in the correct order, and ready for imaging or filing.
- Follow all department procedures, confidentiality requirements, and security protocols.
- Ensure sensitive or confidential documents are handled and stored in accordance with company policies.
- Maintain accurate logs or tracking sheets for completed work.
- Meet daily productivity goals while maintaining high accuracy.
- Assist team members as needed to ensure project timelines are met.
QUALIFICATIONS & EXPERIENCE REQUIRED:
- High school diploma or equivalent.
- 1 year of or more year of customer service or support experience.
- Previous experience in document preparation, data entry, records management, or office support preferred.
- Strong attention to detail and ability to work with repetitive tasks.
- Ability to follow written instructions and standardized procedures.
- Good hand-eye coordination for removing fasteners and handling delicate documents.
- Must be dependable with good attendance.

PHYSICAL REQUIREMENTS:
Ability to sit or stand for extended periods. Ability to lift and move document boxes (typically 20-35 lbs.). Manual dexterity to handle small clips, staples, and delicate paper materials.
