Position Overview
F. Carter Associates is seeking a dependable and detail-oriented Administrative Assistant to provide administrative support and help maintain the smooth day-to-day operation of the office.

The Administrative Assistant serves as a key point of contact for clients, assists with office operations, manages paperwork, and supports the advisor in maintaining efficient business processes.
Essential Duties and Responsibilities
- Complete all forms accurately and submit them within one business day.
- File client statements, correspondence, and agreements so that all client filing is completed within five business days.
- Track pending business paperwork and update pending business summary sheets for advisor review.
- Track and tally outstanding work on a weekly basis.
- Handle client phone calls when appropriate and transfer calls to the advisor when necessary.
- Anticipate and proactively support advisor needs.
- Update and maintain CRM systems.
- Perform mail merges and assist with office mailings as directed.
- Utilize office software systems and available resources efficiently.
- Make recommendations that improve office organization and efficiency.
- Regularly review office communications, updates, and notices and communicate relevant information to the advisor.
Qualifications
Required Skills and Experience
- Exceptional attention to detail.
- Minimum of five years of administrative experience or three years of experience within the financial services industry.
- Demonstrated ability to work effectively in a fast-paced environment.
- Strong organizational and time management skills.
- Ability to perform repetitive tasks accurately and consistently.
- Ability to complete forms and documentation with a high degree of accuracy.
- Proficiency with Microsoft Office applications, including Word and Excel.
- Ability to follow instructions and established procedures precisely.
Preferred Qualifications
- FINRA Series 6 registration is beneficial but not required.
