Position Overview
The Office Assistant provides support primarily for the Business Manager and Executive Director while helping maintain efficient office operations. This position serves as a key point of contact for visitors, volunteers, staff, and board members and helps ensure office systems, volunteer coordination, and administrative functions run smoothly.
Reports To: Business Manager
Schedule: Part-time. Regular availability during business hours is expected, with preferred availability between 10:00 a.m.–2:00 p.m., Monday–Friday. Occasional evening or weekend work may be required for meetings and events.
Compensation & Benefits

Starting wage: $17/hour (nonnegotiable to ensure equitable compensation)

Key Responsibilities
Office, Technology, and Facilities

Answer phones, process mail, and greet visitors.

Maintain a clean, organized, and well-stocked office.
-
Coordinate service vendors and office maintenance needs.

Manage office keys, codes, and office systems.
-
Support and troubleshoot office technology, including phones, alarm systems, conference equipment, postage systems, and office equipment.

Maintain office calendars, room reservations, and meeting logistics.

Assist with property file organization and administrative recordkeeping.
-
Manage website inquiry routing and maintain outreach materials.
-
Occasionally lift and move office supplies and materials up to 50 pounds.
Volunteer Coordination

Respond to volunteer inquiries and coordinate volunteer communications.

Manage volunteer event registrations, RSVPs, waivers, and attendance tracking.

Update volunteer records and hours in Salesforce.

Maintain volunteer-related website calendar information.

Coordinate volunteer office hours and mailings.
Executive Director, Board, and Development Support

Update Salesforce records, including address changes and deceased constituent records.

Print and process donor acknowledgement letters.

Assist with board and committee meeting logistics, records, and board packet preparation.

Provide administrative support to the Executive Director and Board Chair as needed.
Qualifications

Two or more years of relevant administrative experience, preferably in a nonprofit setting.

Experience with Salesforce or another CRM database preferred.

Proficiency with Microsoft Office and Google Workspace.

Strong organizational skills and attention to detail.

Excellent communication and interpersonal skills.

Ability to manage multiple priorities and work independently.

Comfort learning and supporting technology systems.

Ability to handle confidential information with discretion.
