The Department of Computational Medicine & Bioinformatics (DCMB) is seeking a full-time Administrative Manager Associate to serve as a key partner to the Chief Department Administrator (CDA) and provide direct supervision to a team of administrative staff. As DCMB has grown from 7 to 20 faculty FTE over the past decade, this newly created position is part of a full organizational restructure designed to distribute administrative leadership, improve service to faculty, staff, and students, and ensure continuity of operations when the CDA is out of the office. The successful candidate will report directly to the Chief Department Administrator.
The Department of Computational Medicine & Bioinformatics
DCMB conducts research and education at the intersection of biology, medicine, and computation. The department supports a growing roster of faculty, postdoctoral fellows, research staff, administrative staff, and graduate students enrolled in PhD, Master's, and Accelerated Master's degree programs.
Administrative Leadership Responsibilities
Partner with the Chief Department Administrator on the day-to-day operations of the department and serve as the senior administrative point of contact during the CDA's absences. Responsibilities include:
- Provide administrative supervision to assigned administrative staff, including hiring, performance management, professional development, and work assignments
- Serve as backup to the CDA during absences and peak workload periods; represent the department in administrative matters as delegated
- Support CCMB as the Lead Administrator and serve on the Executive Committee, attending all meetings. Assist in keeping the charter up to date, weekly communications with members, and assist with marketing campaigns. Work directly with the Director and Co-Director on planning and vision for CCMB
- Partner with the CDA on organizational planning, workflow design, and process improvement across the unit
- Coordinate cross-functional administrative projects spanning HR, finance, procurement, and student services
- Oversee onboarding and offboarding logistics for faculty, staff, students, and visitors
- Support space, facilities, and equipment planning in coordination with the school and central units
- Be an active member of the DCMB Chair Advisory Committee, providing information on departmental space and upcoming events for the department
HR & Personnel Responsibilities
- Coordinate recruitment, hiring, and onboarding for staff positions in partnership with the CDA and central HR
- Draft and maintain position descriptions; assist with job code reviews, appointment changes, and reclassifications
- Track and support staff performance evaluations, goal setting, and professional development plans
- Serve as a first point of contact for staff HR questions and escalate to central HR as appropriate
- Support compliance with U-M HR policies, Standard Practice Guide, and unit standards
Financial & Operational Responsibilities
- Assist with departmental budget
- Approve transactions within delegated authority (procurement, reimbursements, Pcard reconciliation)
- Oversee administrative support for department events, meetings, and seminars
- Contribute to financial reporting, forecasting, and ad hoc analyses requested by the CDA or department leadership
- Plan, manage, and oversee events: Annual Retreat, Seminars, Faculty Meetings, and other events. Independently quote/book caterers, photographers, media, and other vendors. Coordinate, manage, and oversee operational logistics on the day of the event with staff and vendors.
- Bachelor's degree
- 15+ years of progressively responsible administrative experience, including experience in higher education or a comparable research environment
- Experience working in both clinical and basic science departments at Michigan Medicine, supporting Chairs and/or Division Chiefs
- Experience training other administrative assistants on duties and reviewing work
- Experience handling space, moves, and requesting keys
- Strong interpersonal, written, and verbal communication skills
- Demonstrated ability to manage competing priorities and exercise independent judgment
- Master's degree
- Experience at the University of Michigan and familiarity with M-Pathways, Emburse, Marketsite, and related systems
- Knowledge of U-M policies, procedures, Standard Practice Guide, and HR Data Dictionary conventions
- Experience supporting an academic department with research, education, and service missions
- Experience contributing to organizational change, reorganization, or workflow redesign
