Provide administrative support to the Director of Patient Education for the Frankel Cardiovascular Center (FCVC) Mardigian Wellness Resource Center (MWRC) and oversee the daily operations of the MWRC. This position will assist patients and families with finding resources to answer their health-related questions and educate on the programs and services available at the Frankel Cardiovascular Center utilizing the library collection, the University of Michigan Health website and internet. This position will also provide support to educational committees and workshops, assist with the inventory and delivery of the patient education folder program, special projects and other duties as assigned.
Administrative Duties:
- Manage Wellness Center daily operations and provide excellent customer service for patients, families, and visitors.
- Support staffing needs for student temps and volunteers, including onboarding, training, scheduling, and daily coordination.
- Provide administrative support to the Director of Patient Education, including calendar management, travel coordination, meeting support, minutes, P-Card reconciliation, reports and presentations.
- Maintain office operations by ordering supplies and print materials, entering data into library/patient education databases, and troubleshooting basic equipment issues.
- Oversee and monitor the Frankel CVC lactation space.
- Support additional duties and special projects as assigned.
Library Programming and Events:
- Collaborate with Library staff to plan, promote, implement, and evaluate MWRC library programs and events.
- Develop and maintain monthly library displays, program calendars, and promotional materials.
Collection Management:
- Collaborate with the MWRC and Pavilion Library staff to maintain and update print and electronic education materials, including selecting new resources and removing outdated items.
- Coordinate with students and volunteers to support weekly shelf-reading and book preservation activities.
- Monitor overdue materials, notify patrons, and follow up to support timely return of library resources.
- Track and analyze resource usage and request trends to support collection development and reporting.
Mardigian Wellness Resource Center Duties:
- Manage counter, phone, and email inquiries while providing responsive, patient- and family-centered customer service.
- Assist patients, families, and visitors with locating reliable print and online health resources, including cardiovascular and related health information.
- Conduct mediated information searches, answer consumer health reference questions, and prepare information packets according to established guidelines.
- Refer patients and families to appropriate support services within the Frankel CVC and University of Michigan Health.
- Support library visitors in using computers, scanners, photocopiers, patient services webpages, databases, and other library/business resources.
- Perform circulation and shelving duties, including checking materials in and out and maintaining proper organization.
- Assist with purchasing brochures, pamphlets, and materials for patient education folders.
- Support MWRC library programming, promotion, and collection maintenance in collaboration with library staff.
Associate degree or equivalent combination of education and experience is necessary.
- Must possess strong Microsoft Office skills (Outlook, Word, PowerPoint, Excel, Access, Canva, Publisher), with a proven record of effectively learning and utilizing computer systems, performing internet searches, and utilizing other web-based applications.
- Exceptional customer service skills and professional demeanor.
- Excellent organizational skills, and the ability to prioritize and balance multiple tasks with demonstrated follow through.
- Candidate must be a team player with the ability to work independently, be self-directed and demonstrate problem solving skills.
- Excellent written and verbal communication skills, attention to detail with strong proof reading and grammar skills.
- Demonstrated ability to thrive in a deadline driven environment.
- Must be able to push and pull objects weighing 60-80 pounds on a cart with wheels.
- Must be able to lift education materials, weighing approximately 10-20 pounds, to a height of 2-4 feet.
- Demonstrated excellent attendance, reliability and punctuality required.
Senior level: more than four years of administrative experience from which comparable knowledge and abilities can be acquired.
- Intermediate level: more than two years of administrative experience from which comparable knowledge and abilities can be acquired.
- Bachelor's degree preferred.
- Library experience in reference, circulation, technical processing, and automated library management system.
- Understanding of library-wide practices and procedures.
- Advanced knowledge of medical terminology.
- Experience with patients/families (health care consumers) in a hospital setting.
- Knowledge of/experience in inventory control and LEAN principles.
40 hours per week. Monday through Friday, 8:00-4:30pm. This position requires the employee to work onsite at Michigan Medicine.
This position may be underfilled at a lower classification depending on the qualifications of the selected candidate.
