The selected candidate will be scheduled to work 44 weeks per year. The Dental Clinic is closed from the end of June through early August each year.

POSITION SUMMARY:
The responsibilities of the Dental Clinic Operations Specialist (DCOS) have a critical impact on student success, patient care, safety in the dental clinic, the reputation of Delta College within the community, and risk reduction for legal issues involved with the dental clinic. This position is required to be fulfilled at all times as defined by the Commission on Dental Accreditation (CODA).
The DCOS is responsible for coordination and facilitation of all dental hygiene and dental assisting students based on their individual needs to meet established graduation requirements. This includes communication with community-based patients and serving as a liaison with local dental offices. The DCOS leads community outreach and patient recruitment efforts, manages HIPAA and OSHA compliance, maintains dental clinic equipment, and oversees inventory and ordering of controlled medical and dental supplies.
ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO THE FOLLOWING:
Students
- Coordinate needs of 60+ students including dental software, scheduling, program requirements, and clinic protocol
- Open and close the dental clinic ensuring compliance with radiology, sterilization, infection control, and HIPAA standards
- Monitor clinic safety and security through camera systems
- Assist with community outreach preparation
- Maintain patient treatment records in accordance with CODA standards
- Provide documentation for accreditation reviews
Communication
- Explain policies, procedures, scheduling, payments, and treatment expectations
- Resolve conflicts involving students and patients
- Communicate with external medical providers
- Ensure proper documentation and handling of dental charts
- Enforce clinic protocols and report violations
- Maintain HIPAA and FERPA compliance in all communications
- Train users on dental practice and grading software
- Serve as SDS officer and monitor OSHA Safety Data Sheets
Patients
- Communicate regarding appointments, procedures, and payments
- Track treatment phases and document communications
- Manage radiograph distribution per HIPAA requirements
- Maintain infection control and patient safety
- Respond to medical emergencies as part of the team
- Coordinate care with external dental providers
- Lead patient recruitment and outreach efforts
Budget & Inventory
- Maintain clinic inventory and budget
- Order supplies to prevent disruption of patient care
- Coordinate repairs and maintenance
- Process patient billing, payments, and deposits
- Maintain financial records and documentation for CODA reporting
Repairs
- Ensure functionality of dental units, radiology rooms, simulation labs, and sterilization equipment
- Troubleshoot equipment and software issues
- Coordinate vendor repairs and track progress
- Train faculty on minor troubleshooting and prevention
- Perform routine maintenance and calibration
- Maintain repair records for accreditation compliance
Required Qualifications
- Associate’s degree or equivalent knowledge and skills
- 1–3 years of position-related experience

- Registered Dental Assistant (RDA) or Registered Dental Hygienist (RDH) licensure
