Position Overview
Keeley Home Care LLC is seeking a high-level Human Resources Systems and Support Associate to manage our administrative architecture. This is a systems-focused, backend role ensuring the administrative engine supporting our Home Care Professionals (HCPs) is flawless, compliant, and efficient. While HCPs report to field operations leadership, this role manages the underlying data and compliance infrastructure.
Key Responsibilities
HR Systems & Data Stewardship
System Management: Audit and maintain all HR data within Aaniie to ensure personnel files and records are consistently "audit-ready".
Payroll Administration: Coordinate the administrative side of payroll, ensuring accurate log hours and resolving employee technical questions regarding tax withholdings and stubs.
PTO & Loyalty Ladder: Manage "5-Year Loyalty Ladder" tracking. This includes calculating 48-hour front-loads and monitoring Michigan-standard rollover caps (Year 1: 0; Year 2: 2; Year 3: 4; Year 4: 6; Year 5+: 8).
Compliant Talent Infrastructure
Recruitment & Compliance: Manage the hiring funnel and ensure all interview processes strictly adhere to EEOC and ADA guidelines.
Non-Skilled Integrity: Audit all documentation to eliminate "medical" or "clinical" language, reinforcing our status as a non-skilled agency.
Onboarding: Facilitate technical onboarding for HCPs, ensuring all legal disclaimers and service plan acknowledgments are filed before field placement.
Operational Support & AI Integration
AI Documentation: Use AI productivity tools to draft and refine corporate memos, policies, and training manuals for the C-Suite.
Executive Support: Maintain confidential records for the 92/8 Leadership Shield Plan.
Data Security: Manage all records with Level P-5 security standards, ensuring total separation between personal and business documentation.
Compliance & Professional Boundaries
Strict Confidentiality: Maintain professional boundaries to ensure business operations remain entirely separate from the leadership team’s personal lives.
Legal Standards: Ensure ongoing compliance with Michigan labor updates and maintain a strict "non-medical" distinction in all communications.
Qualifications
Education: Degree in HR, Business Administration, or a related field preferred.
Technical Mastery: Advanced HRIS proficiency and a strong command of AI productivity tools.
Legal Literacy: Deep understanding of Michigan labor laws and the distinction between Home Care (non-skilled) and Home Health (clinical).
Precision: Exceptional attention to detail, specifically for managing complex accrual ladders without error.
