Description We are looking for a detail-oriented and proactive Receptionist to join a non-profit organization in Grand Rapids, Michigan. This is a Contract position where you will play a key role in managing the front desk and ensuring smooth communication processes. The ideal candidate will have strong organizational skills and a friendly demeanor to create a welcoming environment for visitors.
Responsibilities:
Manage the front desk operations, including greeting visitors and directing them appropriately.
Handle incoming calls on a switchboard with up to 10 lines, ensuring messages are accurately recorded and communicated.
Maintain and organize email correspondence using Microsoft Outlook.
Provide excellent customer service to both internal staff and external visitors.
Familiarize yourself with the organization's website to assist with inquiries and resource navigation.
Ensure the reception area remains tidy and well-organized at all times.
Collaborate with team members to support daily administrative tasks as needed.
Participate in a brief training session to understand organizational processes and tools. Requirements - Experience managing a switchboard with 1-10 phone lines.
Proficiency in Microsoft Outlook for email and scheduling tasks.
Strong customer service skills with a detail-oriented and approachable demeanor.
Ability to handle multiple tasks and prioritize effectively.
Familiarity with basic website navigation and resource identification.
Excellent verbal and written communication skills.
