SALARY AND BENEFITS
Salary: $17.92 - $23.83/hr commensurate with experience and qualifications
Benefits: Our comprehensive benefits package includes health insurance with five different plans, dental and vision coverage, life and disability insurance, voluntary insurance options, and a supplemental life program. Employees are entitled to sick time, vacation time, bereavement days, holidays, and longevity pay. Flexible spending accounts (FSA) or healthcare savings accounts (HSA) are available based on the elected medical plan. Additionally, retirement savings plans are provided through the State of Michigan Office of Retirement Services (ORS). These benefits are available after just one full day of employment.

ROLE AND ESSENTIAL DUTIES
The Project Secretary provides administrative support for department/program projects, which includes professional development initiatives and program specific projects. This role serves as a primary point of contact for the department/program, manages digital information systems, manages compliant record-keeping and quality assurance auditing, and coordinates the logistical aspects of program events and training.
Essential Duties (May include, but not limited to):
- Acts as a primary liaison between the department, other district programs, community and business partners, and local school staff to ensure seamless communication.
- Manages schedules, coordinates logistics, and promotes district meetings, workshops, and specialized activities.
- Drafts professional correspondence, prepares complex data-driven reports, and manages digital newsletters or district updates.
- Creates and maintains accurate, secure databases to track department activities, student/staff information, and program outcomes.
- Utilizes district finance software to perform routine accounting functions, including purchase orders, invoices, expense reimbursements, and payroll coordination.
- Facilitates the distribution of department/program specific updates and assists with quality assurance auditing and monitoring to ensure program compliance.
- Collaborate with department staff to prepare and distribute physical and digital materials for training and meetings.
- Provides administrative planning and logistical support for committee groups.
- Consistently models Win-Win leadership.
Other Duties:
- Performs routine tasks necessary to carryout assigned responsibilities in the department.
- Performs other related duties in the department, as assigned.
QUALIFICATIONS
Education:
High school diploma/equivalent plus thirty hours of coursework of study beyond high school required. College level coursework in office administration, business, or technology preferred. Associate’s degree preferred. Documented continuing education credits, school board Continuing Education Units (CEU’s), workshops, or seminars equivalent to thirty plus hours may be considered.
Experience:
Minimum three years’ experience in a business or educational agency required.
Skills/Other:
- Technical Proficiency: Intermediate to advanced proficiency in Microsoft Office 365 (Word, Excel, Outlook) and cloud-based collaboration tools (e.g., Google Workspace).
- Demonstrated ability to adapt to new software and emerging district technologies.
- Strong data entry skills with an emphasis on accuracy (45+ wpm)
- Professional Skills:
- Exceptional written and verbal communication skills.
- Strong organizational and time-management skills, with a proven ability to manage multiple priorities independently.
- Commitment to maintaining strict confidentiality and exercising sound judgment regarding district policies.
- Reliability, punctuality, and the mental/physical stamina required for a fast-paced office environment.
- Ability to work a flexible workday, work week, and work year.
- Discretion with confidential information.
