Job Title: School Administrative Assistant
Duration: Contract 6+ months
Location: Flint MI 48503
Payrate : $19.38/hr. on W2 (without benefits)
Work schedule: Mon - Fri 8:00AM - 5:00PM
Job Description:
Serve as one of several points of contact for faculty, staff, students, and the public seeking assistance or information about the Technology Division. This will include answering phones and returning voicemail, responding to social media inquiries for the technology division, answering emails, responding to faculty and faculty related requests and greeting and assisting students, staff, and visitors to the office.
Perform general office duties for Dean, faculty, and staff which may include drafting communications, assisting with technology needs or other general office assistance.
Assist faculty with any reporting paperwork that needs reviewed by the Dean or other external committees.
Monitor attendance reporting.
Monitor midterm and final grade reporting.
Assist faculty with administrative grade processes, including grade changes, incomplete forms, grading notifications, etc.
Monitor absence line/email and coordinate substitutes that are unable to teach assigned classes, contact and secure substitute teachers, with Dean's approval.
Contact students regarding any changes to scheduled classes.
Coordinate with program coordinators to prepare for all advisory board meetings including invitations, agendas, arrange food service, receive RSVPs, attend the meetings, take minutes and provide the minutes to the Dean and the program faculty within one week of the meeting. Advisory board meetings may take place after 5pm.
Secure textbooks request information from instructors, coordinate with the bookstore representatives to ensure availability of books.
Assist faculty and staff with travel/professional development requests. Work with the faculty
Committee, using Divisional Governance guidelines.
Sort and distribute incoming mail, and make campus deliveries.
Maintain the departmental bulletin boards, not maintained by department coordinators.
Perform other clerical duties that may occasionally be assigned within the Technology Division in the absence of the Administrative Assistant. Staff Assistant will be cross trained on payroll, requisition, purchasing supplies, and distributing checks; assigning names to class schedules in Datatel, preparing contracts, taking minutes and transcribing Divisional meetings in the absence of the Administrative Assistant.
Perform other duties as assigned by the Dean.
Required Skills:
Associates degree or equivalent experience.
Minimum of 1 year experience in receiving and reconciling monies such as retail experience, cash handling, operating point of sale systems, customer service, etc.
Experience working in a digital office environment.
Preferred Requirements:
Proficiency in using basic Excel and MS Word.
Comfortability with telecommunications and scheduling appointments for others.
Experience with creating foundational relationships with students, employers and other community partners.
Social media and networking experience.
Demonstrated experience working successfully in a high stress environment, handling multiple tasks and projects simultaneously. Ability to perform on-time delivery of projects.
