Responsibilities:
Serve as the first point of contact for visitors and incoming calls to the management team.
Manage calendars for the VP and coordinate meetings and appointments for managers.
Prepare documents, reports, and control access to the floor.
Set up workstations for new associates.
Coordinate deliveries for kitchen and office supplies.
Receive vendors for meetings, deliveries, and mail.
Organize activities and deliveries for committees (e.g., BOAT).
Arrange lunches for Technical Service Center (TAC) associates.
Collaborate with administrative teams in Memphis and St. Petersburg.
Plan and arrange venues, equipment, catering, accommodations, and travel for medium-scale events.
Identify and report noncompliance with organizational policies and regulatory codes.
Answer phones, emails, and inquiries; direct complex matters to appropriate colleagues.
Initiate internal and external contact to convey requests, provide instructions, or obtain information.
Greet visitors and respond promptly to questions and issues.
Support procurement processes and ensure compliance with established protocols.
Skills & Requirements
Clear and effective verbal communication; ability to provide guidance when needed.
Strong organizational and prioritization skills; work independently with minimal supervision.
Knowledge of policies, procedures, and compliance requirements.
Proficiency in MS Office 365, Zoom Meeting, Zoom Phone, and Visio.
Ability to support business processes and use standard office equipment/software effectively.
