Position Summary:
Under the supervision of Business Office Director, register patients in computer system. verify eligibility and insurance, and determine patient payment resources. All Nimkee staff must adhere to mandated reporting laws.
Essential Duties and Responsibilities:
- Greet and register incoming patients in a professional manner. Answer all phone calls, sort mail and answer questions for patients.
- Provide appropriate forms to patients and ensure the completion of paperwork as necessary for requested services. Obtain and complete accurate demographic, financial and insurance information for each patient and enter into RPMS system. Obtain insurance registration form and check for annual update in patient file. Add new patients into the RPMS system and build charts as needed.
- Verify by telephone or on-line utilizing BCBS WEB DENIS, Delta Dental, and Express Scripts computer system that all-insurance coverage is active.
- Verify monthly Medicaid eligibility for patient`s status.
- Secure and lock chart room at the end of the day.
- Scan proofs in charts accurate and according to established timeframes.
- Print referrals, health summaries and fact sheets.
- Adhere to patient confidentiality and comply with clinic policies and federal regulations under the Privacy rules of the Health Insurance Portability and Accountability Act (HIPAA).
- Provide excellent customer service for all internal and external customers of the operations at all times. Provide solutions for customer concerns and continually focus on customer service as our top priority.
- Must maintain strict confidentiality and present a positive, professional demeanor and image at all times.

Contacts/Purpose of Contacts:
- Contact with department staff to communicate work progress.
- Frequent contact with patients.
- Frequent contact with other Tribal departments and outside agencies to complete the duties of the position.
Minimum Qualifications:
- High School Diploma or GED.
- Must be 18 years of age.
- Proficient with various computer software applications.
- Must be able to pass background check to meet the employment eligibility requirements as they pertain to the position.
Desired Qualifications:
- Two years of experience working with various types of insurance including basic coverage, limitations, pharmacy, dental and medical insurance.
License, Certification, or Special Requirements:
- Ability to obtain HIPAA Certification, Blood Borne Pathogens Certification, and Safety Training within thirty days of hire.
- Native American preference shall apply to all positions.
Knowledge, Skills, and Abilities:
- Knowledge of applicable federal, state, county and local laws, regulations, and requirements related to HIPAA, Medicare, Medicaid, and commercial insurance programs.
- Knowledge of eligibility for insurance.
- Knowledge of records management.
- Knowledge of basic medical terminology.
- Skill in operating business computers and office machines, including in a Windows environment, specifically Word, Excel, Access, and PowerPoint.
- Skill in interacting with patients; potentially sensitive issues and possible volatile situations.
- Skill in treating patients with tact, courtesy, and respect.
- Ability to communicate effectively both verbally and in writing.
- Ability to establish and maintain professional relationships with individuals of varying social and cultural backgrounds and with co-workers at all levels.

Physical Demands:
- Frequent use of hands, wrists, fingers associated with computer equipment.
- Required to sit for extended periods of time.
- Occasionally walk and stand, stoop, kneel, crouch or crawl.
- Normal visual acuity, ability to talk and hear.
- Occasionally lift and/or move up to 20 pounds.
Work Environment:
- Medical Clinic and normal office environment.
- Extended hours and irregular shifts may be required.
