ADMINISTRATIVE OFFICE ASSISTANT III

Position Summary:
Provides advanced administrative and operational support to the director of operations and budget for University Advancement. Serves as a key liaison across the Advancement division and other university departments, ensuring timely, accurate, and professional handling of projects, donor relations, and operational processes.
Required Qualifications:
High school diploma or GED .
Four years of qualifying experience or a combination of education and experience that equates to four years.
Experience with Microsoft Word.
Customer service experience.
Spreadsheet and/or database experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the position with or without reasonable accommodation.
Preferred Qualifications:
Proficiency in Microsoft Excel, SAP , or other enterprise-level systems.
Experience with DocuSign or similar e-signature platforms.
Duties & Responsibilities:
Serves as a primary point of contact for Development and Alumni Relations and Gifts Entry staff regarding Advancement operations, including supply orders.
Prepares documentation for endowments and naming opportunities for Board of Trustees approval via the Vice President (VP) of Advancement; distributes confirmations post-approval and coordinates with the President’s Office.
Manages the DocuSign workflow for endowment agreements and other critical Advancement agreements.
Collaborates with Stewardship & Donor Relations staff, the Office of Scholarships and Financial Aid, and Accounting Services to ensure accurate processing of agreements and disbursements.
Coordinates meetings, schedules, and calendars for assigned leadership as needed.
Supports the assistant director of operations and budget with new hire tasks to ensure smooth onboarding.
Approves payroll for Advancement staff and students, including leave time entries for employees on active leaves of absence (e.g., FMLA ).
Completes monthly expense reconciliations (PNC ) and monitors Advancement (Operations & Budget, VP, payroll, and work study) cost centers.
Manages pledge card distribution through Marketing Communication Resource, Inc. (MCR ) for phonathon donors.
Processes all facilities-related maintenance and repair requests through Facilities Management.
Maintains the inventory asset listing, orders replacement technology, and initiates support tickets through OIT as requested by the director.
Partners with the assistant to the VP of Advancement on board-related projects and other special initiatives.
Provides back-up administrative support to the VP of Advancement as needed.
