ADMINISTRATIVE OFFICE ASSISTANT II

Position Summary:
Duties performed are of a senior clerical nature. This is the second most senior-level clerical job, handling significant clerical details and duties that may require the ability to apply technical knowledge to clerical functions. Specialized functions may include performing complex bookkeeping, general accounting, collection of past due accounts, and answering a high volume of customer inquiries via telephone, email, and postal mail.
Required Qualifications:
High school diploma or GED .
Three years of qualifying experience or a combination of education and experience that equates to three years.
Experience with Microsoft Word.
Customer service experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the job.
Preferred Qualifications:
Knowledge of specific software and/or mainframe/systems skills may be desired by the hiring department (i.e., SAP , Perceptive Content, Maestro, and Timelink).
Experience with collections.
Demonstrated ability to design/maintain web pages may be desired.
Ability to communicate well with 3rd Party Vendors.
Ability to understand and follow state and federal collection laws.
Duties & Responsibilities:
Cashier for student account payments as well as making deposits for all cash operations on campus.
Processes and corrects journal entries and data entry budget account reconciliations.
Responsible for ordering and maintaining appropriate level of currency for daily cash operations, concessions tills, change funds, and bookstore buyback.
Answers calls in a busy, multi-line call center utilizing Cisco Finesse software.
Daily monitoring and response to A/R email inbox.
Responsible for the internal collection of past due accounts, including contacting account holders and generating account breakdowns.
Reviews financial aid status.
Creates payment arrangements for past due accounts.
Maintains records for statistical reporting and procedure manuals.
Establishes payment plans for students.
Maintains position procedures manual.
Communicates well with 3rd Party Vendors.
Maintains strict confidentiality of all records.
Utilizes SAP to process specialized functions within program.
Understands and follows state and federal collection laws.
Verifies time has been submitted by manager prior to payroll deadlines.
Application of stipends and fellowship payments.
Application of 3rd party aid and invoicing 3rd party payers.
Maintains and orders office supplies.
Performs other duties as assigned.
