Position Summary:
Duties performed are of a senior clerical nature. This is the second most senior level clerical job handling significant clerical details and duties that may require ability to apply technical knowledge to clerical functions. It incorporates elements of other levels with a majority of effort associated with specialized support services or program related activities. It may include performing lead duties over other office professional employees. Specialized functions may include performing complex bookkeeping, general accounting, or duties requiring technical knowledge. Other key aspects of work at this level include a high degree of independence and latitude to prioritize work assignments.
Required Qualifications:
High school diploma or GED .
Three years of qualifying experience or a combination of education and experience that equates to three years.
Experience with Microsoft Word.
Customer service experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the job with or without reasonable accommodation.
Preferred Qualifications:
Knowledge of specific software programs, mainframe/systems skills may be desired by the hiring department. (i.e. Excel, Access, SAP )
Demonstrated ability to design/maintain web pages may be desired.
Duties & Responsibilities:
Frequent and regular communication with Manager, Central Receiving, Warehouse and Fixed Asset staff.
Frequent and regular communication with University Stores Customers. Sharing information regarding customer order status, billing, item pricing, and back order status.
Research Inventory Discrepancies – Continuous inventory auditing
Tracks Backorders
Expedites Pending Purchase Orders
Distribution of Purchase Orders to vendors and confirming order status
Updates Department Web Page with SAP report information
SAP Processes:
Info Record updates
Source List updates
Creates purchase orders
Editing, deletion, printing of purchase orders
Editing and Creation of Material Master Information
Goods Issues
Goods Receipts
Obsolete or Slow Moving Inventory Tracking
On-line Ordering (With a variety of Vendors)
Stores Contract Management/Outline Agreements/ Requests for Quotation (RFQ ) Monthly:
Month end reporting – Sales Totals and other stats
Creation of Stores Catalogs for staff and customer
Return to Vendor Items:
Coordinates the return approval with Vendors
Arranges Freight
Communicates to all pertinent parties return status
Communicates with Accounts Payable
GR/ IR issues – Credit/ Debit of returned items
Supervises student workers
Enters data
Files documents
Supports Surplus operation including handling of cash, setting appointments for online pickups, notifying online auction winners and support for in-person sales.

About the Department:
University Stores is the centralized logistics and supply unit supporting the operational needs of CMU . The department provides a wide range of essential services, including:
• Procurement and Inventory Management – Manages stock and supply inventory used by campus departments, ensuring availability and efficient replenishment.
• Order Fulfillment and Vendor Communication – Processes internal orders, coordinates with vendors, and ensures timely delivery of goods.
• Fixed Asset Support – Assists with asset tracking, documentation, and coordination with university systems.
• Campus Moving and Delivery Services – Facilitates the relocation of departmental assets and delivery of supplies across campus.
• Systems Furniture Assembly and Installation – Provides setup and reconfiguration of modular office furniture to meet departmental needs.
• Surplus Operations – Oversee campus surplus property management, including internal reallocation, public online and in-person sales, and responsible recycling.
