Summary
This is a year-round, part-time position as the College Archivist and a member of the library staff. The College Archivist's schedule is flexible; however, the hours will be 30-35 hours per week, between 8am and 5pm, for a total of 46 weeks per year, with some evenings and weekends dedicated to attending special college events.
The College Archivist will be responsible for curating and managing the college's historical collection. They will acquire, catalog, and preserve materials in accordance with archival standards. The Archivist will collaborate with the library team to make the existing physical collection and growing digital collection accessible online, and create finding aids to enhance the collections' accessibility to patrons. They will respond to research inquiries and support library and college initiatives, including the upcoming 75th NMC Anniversary festivities.
Qualifications
REQUIRED:
• 3-5 years prior professional experience working with the public, particularly in an environment that values history, education, or community engagement
• A clear understanding of the value of historical records and their relevance to an institution and its community
• Strong organizational and problem-solving abilities
• Excellent verbal and written communication skills
• Proficient use of computers, spreadsheets, and databases, such as Excel or GoogleSheets, printers & scanners, and library catalogues and databases
PREFERRED:
• Bachelor's Degree and/or coursework in archival studies and/or archival or museum management or curation
• Knowledge of the standards, technical issues, and trends related to managing and preserving digital collections
• Work experience (professional, intern, or volunteer) in an archive, historical site, or museum
• Experience using ArchivesSpace, or other content management systems, and D-Space, or other digital repositories
• Knowledge of Northwestern Michigan College and the surrounding community, and a desire to preserve their shared legacy

Responsibilities and essential functions are listed below. While archival training and experience are preferred, they are not required. A self-motivated, curious professional committed to learning about and applying archival practices and standards is essential. The person should have strong organizational abilities, a knack for problem-solving, and the persistence to see projects through to completion. Building cooperative relationships across the organization is critical to the execution of this role, as is a genuine appreciation for history and storytelling.
RESPONSIBILITIES/ESSENTIAL FUNCTIONS:
Stewarding Our History
• Develop and implement thoughtful approaches to acquiring, preserving, and managing the college's historical materials in all formats
• Establish a system for processing new materials, including organizing, describing, and cataloging materials in accordance with archival standards of best practice
• Collaborate with our library team to ensure archival practices are consistent and well-integrated with library policy, and to ensure librarians are cross-trained to assist with reference questions
Curating Collections
• Connect with campus departments to ensure important records find their way into the archives, helping them establish clear retention procedures
• Actively seek out gaps in our collection - whether they be untold stories, missing events, or overlooked time periods - and craft strategies to bring those pieces of our history into the archives
• Cultivate strong relationships across the college and community to ensure the ongoing narrative of NMC is continuously captured and preserved
• Thoughtfully evaluate and acquire relevant materials in accordance with the archives collection development policy
Developing and Maintaining Digital Collections
• Develop strategies for managing and preserving our digital and electronic holdings, adapting to new technologies to ensure continued access
• Lead digitization projects, establishing best practices for organizing and making the digital archives discoverable and accessible
Answering Research Inquiries
• Respond to research inquiries from college leadership, alumni relations, PRMC, and other college stakeholders
• Vet and respond to research inquiries from members of the public
• Provide historical photos and information for college publications and a variety of internal and external requests
• Occasionally, host and assist guest researchers
Building Connections
• Be an integral part of the NMC Library team, contributing to the broader strategic goals of both the library and the college through the lens of the archives
• Collaborate on special projects, such as retirement celebrations, obituaries, or book initiatives, with a particular focus on contributing to the upcoming 75th Anniversary celebrations
• Contribute to displays within the library and occasional installations across campus or with community partners
• Work closely with college facilities to ensure the archival environment is safe and optimal for preservation
• Partner with campus leaders to identify and implement processes for preserving their work within the archives
Sharing Our Story
• Educate employees and students about the purpose and value of the archives, demonstrating how these historical resources can enrich their work and how they can contribute
• Raise awareness within the broader community about our archival collections, and thoughtfully acquire historical materials from community members when appropriate
