The CRSE Department at the University of Michigan School of Dentistry is looking for a highly organized and proactive Administrative Assistant to provide comprehensive support to faculty, students, and departmental leadership. This combined role integrates responsibilities from two previous positions, ensuring smooth faculty administration, department operations, and leadership support. The ideal candidate is detail-oriented, resourceful, and comfortable managing a wide range of administrative tasks that directly impact education, research, and patient care.
Faculty Administration & Academic Support (35%)
- Coordinate full-time faculty reappointments, promotions, and annual reviews.
- Oversee faculty onboarding, including updates to CVs, biosketches, and SmartPath compliance.
- Support adjunct faculty onboarding and track grants (Le Gro, Rackham) and professional development activities.
Process Development, Data, and Business Support (25%)
- Develop and refine administrative workflows to improve efficiency.
- Perform data mining, maintain CRSE data documents, and update departmental processes.
- Assist with business administrator tasks such as space surveys, equipment inventory, and expense reporting.
Scheduling, Communications, and Project Coordination (20%)
- Manage the Department Chair's calendar, ensuring meetings and commitments are prioritized and well-organized.
- Schedule, advertise, and coordinate departmental meetings; handle departmental and student communications.
- Support continuing education, postgraduate courses, calibration projects, and special initiatives.
Office Management & General Administrative Support (20%)
- Monitor and order office supplies; manage facilities requests and equipment needs.
- Arrange travel and reconcile the Chair's P-Card and other departmental expenses.
Organize events, including office lunches and faculty meetings; provide backup timekeeping and cross-coverage as needed.
- High school diploma or equivalent.
- 4 years of administrative experience, preferably in an academic or healthcare setting.
- Strong organizational skills with the ability to manage multiple priorities.
- Proficiency with Microsoft Office; ability to quickly learn U-M systems.
- Excellent written and verbal communication skills.
- Have a proven record of good attendance, strong attention to detail, deep dedication to customer service, and a team approach to work.
- Associate's or bachelor's degree.
- Experience with faculty affairs, visa processing, and academic governance.
- Knowledge of expense reconciliation and university compliance processes.
Because this position serves in part as the first point of contact when you enter the administrative office suite, the schedule will be in the office with a possible 1-day working remotely after 90-day orientation to the position.
