Position: Early Childhood Administrative Assistant
Location: Merrill Community Child Development Center at Merrill Elementary School
Reports To: Elementary Principal
Summary:
The Early Childhood Administrative Assistant works closely with the Elementary Principal to ensure the safety, quality, and comprehensive support of the infant, toddler, and extended care programs. This role is crucial in maintaining a nurturing and secure environment for young children, supporting program staff, and facilitating effective communication between families, staff, and administration. The ideal candidate will be highly organized, detail-oriented, possess excellent communication skills, and have a passion for early childhood education.
Responsibilities:

Manage and process billing for early childhood programs, including infant, toddler, tuition preschool, and extended care.

Process and submit billing to the Department of Human Services (DHS) for eligible families, ensuring accurate record-keeping and compliance with state regulations.

Assist the Principal in developing, implementing, and enforcing safety policies and procedures for infant, toddler, and extended care programs, adhering to all licensing regulations and best practices.

Maintain accurate and up-to-date emergency contact information, medical records, and allergy information for all children.

Develop and manage daily and weekly staff schedules for infant, toddler, and extended care programs, ensuring appropriate child-to-staff ratios are maintained at all times.

Coordinate substitute coverage for planned and unplanned staff absences.

Maintain accurate records of staff attendance, hours, and leave.

Assist with onboarding new early childhood staff, including collecting necessary paperwork and scheduling initial training.

Facilitate effective communication among early childhood staff regarding schedules.

Manage and update the early childhood program's presence on approved social media platforms, sharing engaging content about program activities, achievements, and important announcements.

Collaborate with the Principal to develop and implement a social media content calendar.

Maintain and update relevant sections of the school's website pertaining to early childhood programs.

Process new student applications, collect required documentation, and maintain confidential student files.

Manage enrollment records, waiting lists, and attendance for all early childhood programs.

Ensure all student records are complete and compliant with licensing requirements.

Provide comprehensive administrative support to the Elementary Principal, specifically related to early childhood programs.

Perform other duties as assigned by the Elementary Principal to support the overall needs of the early childhood programs and/or Merrill Elementary.
