Scope of Responsibilities
Serves as the District Lead Receptionist. Performs secretarial or other office work to maintain the flow of work output. Skilled in a wide spectrum of office procedures and knowledge of complex computer programs. Able to handle the day-to-day operation of the position. Must be highly skilled, motivated, and an independent worker. Work hours are 8:00 am-5:00 pm while schools are in session.
Performance Responsibilities
- Greets and assists the public in a professional and positive manner, whether in person, via email, or by phone, while maintaining strict confidentiality.
- Performs activities as the district’s operator by prioritizing incoming visitors or calls, responding quickly, and routing visitors and callers to appropriate departments best able to assist them.
- Obtains training and stays current of all changes and procedures related to the front reception area and keeps all manuals and information lists up to date on a regular basis.
- Responsible for training and updating the District Assistant Receptionist on all new procedures and changes in the department.
- Prepares a list and distributes all current vacancies to the Communications Department for weekly communications to district employees.
- Inactivates all hourly employees after 6 months of not receiving paychecks and reports to payroll through Personnel Actions Entry.
- Assists Compliance Specialist with obtaining current Material Safety Data Sheets (MSDS) and keeps binders up to date.
- Oversees Kiosks for applicants who need assistance applying for positions due to barriers that don’t allow them to apply online.
- Checks in hiring packets using appropriate checklists by employee groups.
- Maintains and updates all addresses, changes in MUNIS, and informs applicable departments, as well as applicants, if email address changes are done for name changes.
- Distributes all new and reactivated employee email addresses to school/departments, as well as to the applicant, training them for a clear understanding of how to log into all KPS systems.
- Opens, sorts, date stamps, and distributes the mail for the Human Resources department.
- Assists the HR department as needed.
- Creates, oversees, and updates the retirement/resignation list each school year.
- Assists with department/district mailings.
- Assists with department scanning and filing.
- Completes verification of employment paperwork, including teaching experience forms and Public Service Loan Forgiveness forms, and distributes to organizations making requests.
- Work with highly sensitive information due to the nature of the Human Resources Department.
- Performs other duties as assigned by the immediate supervisor.
Minimum Qualifications
- High school diploma or general education degree (GED).
- Ability to communicate well (verbally and in writing).
- Exercise skills in human relations and perform under conditions of stress.
- Evidence of secretarial skills and knowledge of office procedures.
- Advanced computer skills, including Microsoft Office and Google Suite.
- Ability to maintain confidentiality.
- Good organizational skills and the ability to prioritize work to meet deadlines.
- Evidence of a desirable work record (low absenteeism, good performance, flexibility).
