EXECUTIVE SECRETARY

Position Summary:
This position serves as the office coordinator and secretary for the university museum and museum studies programs providing overall office coordination, general and specialized secretarial services, and program related support. This position also serves as webmaster for the unit and maintains student, alumni, and museum databases as well as budgetary and financial records including grant and contract documentation. This position serves as the contact for internal and external visitors, schedules and coordinates student assistants, and will have responsibility for facilitating assignments and delegating to student assistants in accordance with the schedule of changing exhibit, program and collection projects.
Required Qualifications:
High school diploma or GED .
Four years of qualifying experience or a combination of education and experience that equates to four years.
Experience with Microsoft Word.
Customer service experience.
Spreadsheet and/or database experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the job.
Preferred Qualifications:
Museum, historic site, or non-profit experience.
Associates degree or higher.
Experience with virtual communications platforms, including Webex, Zoom, Teams, etc.
Duties & Responsibilities:
Office coordinator, secretary, receptionist, and webmaster.
Monitors workflow and supervision of student assistant tasks.
Responsible for internal communications and office/museum maintenance including facilities work orders.
Produces correspondence, forms and memos.
Responsible for preparing and routing internship affiliation agreements.
Maintains budget, payroll, endowment, and financial records including credit card reconciliation and reimbursements.
Processes personnel transactions and payroll.
Coordinates office and program supplies and equipment.
Reservationist: handles inquiries via phone or email and tracks requests for resources or programs from both university and public clients.
Assists with museum collection databases including offers of objects, accessions, cataloging, inventories, etc.
Assists with outgoing and incoming loans of collection items.
Assists with scheduling and logistics of museum education programs.
Tracks academic progress, assists in student registration needs and maintains database of current museum studies minors and Cultural Resource Management Museum Studies graduate students.
Maintains database of museum studies alumni for purposes of communication and fundraising.
Assists with planning and implementation of public events and/or activities related to museum programs, receptions, exhibit openings, fundraising events or campaigns, including developing invitation lists, publicity, decor, entertainment, presentations, mailings and production of brochures.
Provides financial, clerical, and organizational support for grants, contracts, and donation supported projects.
Maintains MCNH social media accounts including Facebook, Twitter, Instagram, etc.
Processes scholarship disbursements.
Assists with curricular forms and processing.
At the request of appropriate staff, assists with museum collection related tasks including data entry, cataloging, inventories, etc.
Assists with planning and implementation of virtual and in-person public events and/or activities related to museum programs, receptions, exhibit openings, fundraising events or campaigns, including developing invitation lists, publicity, decor, entertainment, presentations, mailings and production of brochures.
Other duties as assigned by the director.
