EXECUTIVE SECRETARY

Position Summary:
Duties performed are of a complex and varied secretarial/administrative support nature. Supports the Registrar and Associate Registrar with various complex duties that may be broad and varied or narrow but focused with a high level of independence and autonomy.
Required Qualifications:
High school diploma or GED .
Four years of qualifying experience or a combination of education and experience that equates to four years.
Experience with Microsoft Word.
Customer service experience.
Spreadsheet and/or database experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the job.
Preferred Qualifications:
Knowledge of specific software programs and/or mainframe/systems skills may be desired by the hiring department. (i.e. Excel, Access, SAP ).
Demonstrated ability to design/maintain web pages may be desired
Duties & Responsibilities:
Performs administrative support to Registrar and Associate Registrar
Provides calendaring support for Registrar and Associate Registrar
Maintains and monitors departmental budget of more than $2 million
Prepares invoices, purchase requisitions, and all office business credit card reconciliation
Performs duties associated with being a Notary Public
Maintains Office Website which includes creating content
Maintains University Calendars
Serves as the office liaison for various external supports including, but not limited to work orders/Facilities Management, phone, utilities, and technical support
Interprets University policy and responds to inquiries from students, parents, faculty, University administrators, and outside agencies on the phone and in person
Maintains Registrar’s Office time off Calendar
Compiles, researches, reviews, writes, edits and coordinates documents & databases within the Registrar’s Office
Responsible for the accuracy and maintenance of office procedures, meeting minutes, statistics, reports, etc.
Reviews, recommends, and implements changes for all office procedures and processes
Provides backup support to the Records, Registration, and Scheduling areas as needed
Develops and/or maintains files and reports for the area of responsibility
Complies with provisions of the Family Educational Rights and Privacy Act of 1974 regarding the release of information contained in students’ educational records
Performs administrative support for other administrative staff as needed
Coordinates event planning for office related functions
Orders and monitors supplies, equipment, and inventory
Special projects as assigned by Registrar and Associate Registrar
Other duties as assigned
