JOB SUMMARY: To assist the Associate Registrar in the implementation of the Registrar's component of the student transfer process; including working with the Michigan Transfer Agreement (MTA) and new relevant technology, maintain computerized transfer credit records for undergraduate and readmitted students, assist in the interpret of transfer course equivalencies, and process guest student applications.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Download and verify transfer transcripts, Advanced Placement test scores, CLEP test scores from appropriate sources and determine authenticity. Ensure scanning and uploading of relevant documents into document management system.
- Monitor workflow(s) for transcript evaluations.
- Assist in determination of acceptability of transfer credits for undergraduate and readmitted students, based upon predetermined course equivalencies data.
- Review transfer credits for credit duplications, grades, and MACRAO/MTA agreements.
- Obtain and review transfer credit authorization and distribute Transfer Evaluation Reports.
- Process and maintain guest student applications for SVSU students attending other institutions, verifying GPA/grades and eligibility to return to SVSU, and assist Associate Registrar in corresponding with students on how proposed courses transfer to SVSU.
- Maintain catalog updates from other institutions and make changes in SVSU’s Transfer Equivalency database
- Maintain the security and confidentiality of grades, GPA's and transcripts and other student records in accordance with FERPA regulation.
- Provide customer services at the front counter to students, parents, staff/faculty members, and the general public in the implementation of policies and procedures of the Registrar's Office.
- Provide clerical support for cleaning up/revising the existing transfer credit database.
- Provide clerical support with the implementation of any new State and University led transfer projects/pathways
- Assist with the transfer equivalency process.
- Provide clerical support for the revision and maintenance of the transfer website. Most of the work will include text entry and proofreading.
- Assist Associate Registrar with continual benchmarking of other Michigan institutions for competitive transfer practices and web communications.
- Assume the clerical duties to assist the Associate Registrar with the Transfer Credit Procedural Manual materials for department chairpersons and deans.
- Send letters after determining transfer credit will not be awarded, stating the reason for the decision.
- Enter transcript information for international students.
- Verify report at the end of every semester confirming that all transfer transcripts have been evaluated and are scanned in ImageNow; verify that Second Bachelor's degree student's waivers are entered when needed
- Answer phones and provide information regarding the ordering of transcripts, status of course petitions, verification of enrollment, dates of graduation, status of graduation applications/degree audits, readmit status, registration information, and route calls to the appropriate or SVSU staff member/administrator when necessary.
- Assist with student registration.
- Assist with verification requests.
- Audit work output for accuracy and make necessary corrections.
- Perform other duties as assigned.
SUPERVISION RECEIVED:
?General supervision is received from the Associate Registrar. Additional work assignments/direction and guidance may be provided by the Assistant Registrar and Registrar.
MINIMUM QUALIFICATIONS:
- High School diploma or equivalent.
- Two years of job-related experience, preferably in student records.
- Ability to work overtime hours as needed.
- Strong oral, written, telephone, and interpersonal communication skills.
- Excellent spelling, grammar, punctuation, and basic math skills.
- Demonstrated customer service orientated attitude.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and possess the ability to learn new or specialized software quickly.
- Ability to work cooperatively and communicate professionally with faculty, staff, students, and the general public.
- Experience and ability to positively interact with diverse student populations and groups.
- Ability to work independently or as a member of a team, with minimal supervision.
- Ability to organize and prioritize daily activities and expedite workload under occasional time pressure.
- Ability to handle differing, non-routine work situations based on standard procedures and policies.
- Ability to maintain confidentiality of files and records.
- Ability to learn technical/discipline specific terminology.
- Available for overtime hours when needed.
- Ability to regularly stand, walk, sit, balance, stoop, kneel, crouch, reach, handle, finger, talk, hear, see, and distinguish colors while performing the essential duties of this job.

- Additional education, training or certification in related area.
- Previous experience in higher education.
WORKING CONDITIONS:
