EXECUTIVE OFFICE SPECIALIST

Position Summary:
Performs difficult and complex work involving a high degree of decision-making and independent judgment to determine graduation requirements for undergraduate, graduate and doctoral students. Specialized functions may include performing complex auditing, processing of electronic data and other duties requiring technical knowledge. Performs additional duties as assigned by administration/management.
Required Qualifications:
High school diploma or GED .
Four years of qualifying experience or a combination of education and experience that equates to four years.
Experience with Microsoft Word.
Customer service experience.
Spreadsheet and/or database experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the job with or without reasonable accommodation.
Preferred Qualifications:
Knowledge of specific software programs, mainframe/system skills may be desired by the hiring department (i.e. Excel, SAP , CRM , Image Now, Degree Progress).
Duties & Responsibilities:
Audits academic records of candidates applying for graduation and determines remaining requirements and any deficiencies in degree and graduation requirements.
Awards degrees upon completion of requirements.
Notifies students of all remaining graduation requirements and maintains student record updates and file.
Works with students and advisors to resolve problems, answer student and advisor questions regarding graduation status.
Enters graduation data into student information system.
Assists students at commencement ceremonies as needed.
Evaluates graduation with honors status as needed.
Processes undergraduate and graduate program changes as needed.
Audits and records additional non-teaching majors and minors to existing degrees.
Performs quality control checks related to declaring majors and minors and transfer block, MTA and MACRAO distributions.
Assists in managing graduation audit email account and provides exceptional customer service in responding to inquiries.
Reviews graduation statuses for commencement exception requests, enters notes on tickets, and submits response.
Prepares lists related to ordering diplomas and addresses for international students.
Reviews student accounts with hold statuses as it relates to diploma orders.
Monitors requests for replacement diplomas and verifies degree completion information.
Assists in researching Degree Progress or CRM issues and reviews student academic records to gather information to submit IT tickets.
Completes other duties as assigned.
