Accounts Payable Specialist

Duties:

• Responsible for daily accounts payable operations within the Financial Services department, including the resolution of issues related to purchase orders, invoices, and vouchers.
• Processes vouchers for purchase orders and uses vouchering system to ensure proper invoice payment; confirms invoice numbers, deducts taxes if necessary, and checks for discounts.
• Verifies vendor details, payment coding, and funding numbers.
• Prepares vouchers for both standard and contract-based payments, including those requiring manual checks to capture discounts.
• Conducts quality control by confirming receipt of goods/services, obtaining departmental payment approval, reviewing vendor statements, and resolving issues such as duplicate payments or missing purchase order numbers.
• Provides guidance to departments on procurement compliance and assists vendors with payment procedures.
• Acts as back-up to the Accounting Coordinator; posts daily receipts deposited by the County Treasurer to financial institutions within appropriate accounts.

Education and Experience:

• Bachelor’s degree in business or accounting; OR
• Associate degree in business or accounting, and two years of increasingly responsible accounting and/or payables experience in a commercial, governmental, or industrial organization; OR
• High school diploma or equivalent and four years of increasingly responsible accounting and/or payables experience in a commercial, governmental, or industrial organization.

Special Requirements:

• Must possess and maintain a valid vehicle operator's license throughout the course of employment.
• This position may be required to work extended workdays as needed at busy times, such as month-ends and year-end.
• Considerable knowledge of and proficiency with Microsoft Word, Excel, Access, and Power Point is desired.
