You Will Make an Impact By:
• Scheduling Surgical Appointments: Coordinating surgery schedules, including pre-op and postop appointments, for multiple physicians across different locations, ensuring timeliness and accuracy.
• Preparing Surgical Data: Ensuring all necessary surgical data and documents are accurate,
complete, and submitted to the surgery facilities in a timely manner.
• Managing Patient Paperwork: Assisting surgical patients with completing required paperwork, such as consent forms, lab forms, and post-surgery instructions.
• Cross-Department Support: Having a basic understanding of the functions and responsibilities of other departments, guiding patients to the appropriate resources when necessary.
• Problem-Solving: Identifying patient-related issues and providing suggestions or solutions to address concerns.
• Professional Communication: Demonstrating honesty and diplomacy in communications with coworkers, maintaining a positive atmosphere, and addressing issues maturely.
• Adaptability: Embracing changes in work priorities and procedures with a constructive, open, and positive attitude.
• Process Improvement: Offering ideas to improve efficiency and professionalism in the practice, while keeping supervisors informed of any challenges or needs.
• Customer Service Excellence: Providing exceptional customer service by interacting with
patients professionally and courteously, both in person and over the phone.
• Experience and Skills: Previous experience in a multi-physician office setting is preferred;
proficiency with Electronic Medical Records (EMR) systems is required.
• Teamwork and Independence: Ability to work both independently and collaboratively within a team environment.
• Problem Solving & Organization: Strong organizational and problem-solving skills, with the ability to thrive in a fast-paced environment.
• Patient Communication: Answering and returning patient calls, providing accurate, concise, and professional information, while documenting all communications.
• Updating Patient Information: Verifying and updating patient details in the electronic system as needed.
• Insurance Support: Assisting the insurance department with tasks such as verifying insurance information, quoting deductibles and co-payments, and confirming authorization details.
• Legal Documentation: Obtaining necessary signatures from patients or their legal guardians on required legal forms.
• Surgical Chart Preparation: Accurately preparing and organizing surgical charts for upcoming procedures.
• Liaison Role: Acting as a liaison between surgery facilities, physicians’ offices, and patients to ensure seamless communication.
• Document Management: Sorting, scanning, and organizing documents including medical
clearances, P.O.A. documents, lab results, and other relevant correspondence.
• Office Location Rotation: Flexibility to rotate between multiple office locations as required.
