EXECUTIVE SECRETARY

Position Summary:
Support the Career Development Center and the Office of Student Success units in the delivery of services and programming. Office operations and administrative functions include; maintaining and reconciling departmental budgets on monthly/yearly basis, assisting in the hiring training and scheduling of students for front desk operations, supporting various reports, and coordinating the department calendar.
Required Qualifications:
High school diploma or GED .
Four years of qualifying experience or a combination of education and experience that equates to four years.
Experience with Microsoft Word.
Customer service experience.
Spreadsheet and/or database experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the job with or without reasonable accommodation.
Preferred Qualifications:
Associate’s degree.
Knowledge of specific software programs and mainframe systems (i.e. SAP , Excel, Access, PowerPoint).
Duties & Responsibilities:
Provides administrative support to the Career Development Center and the Office of Student Success administrative functions.
Coordinates and independently monitors the workflow of front desk students, hiring, organizing work priorities, scheduling and training.
Tracks, monitors and maintains departmental budget and related activities and reconciliations including CDC , OSS , and OSS grant programs.
Provides administrative support to the CDC leadership team scheduling meetings, appointments events to acting with a high degree of autonomy and decision making.
Provides support for participant data input for OSS grant program reports.
Responsible for office administrative duties such as purchase orders, accounting/payroll forms and ordering supplies.
Provides excellent customer service to stakeholders.
Prepares routine correspondence, creating spreadsheets and reports and screens telephone calls.
Performs other duties as assigned.
