Job Title: Onboarding Coordinator
Job Description
As an Onboarding Coordinator, you will provide general HR assistance to contractors throughout their onboarding experience. Success in this role requires strong customer service skills, professionalism, teamwork, and a passion for contributing to the bigger picture. Effective time management, attention to detail, critical thinking, and problem-solving abilities are essential.
Responsibilities
Create an exceptional onboarding experience for contractors.
Facilitate the onboarding process, including communication with contractors and completion of all onboarding requirements.
Provide regular and real-time updates on onboarding status to customers and coordinate start details.
Maintain employee files throughout the onboarding process.
Assist with data entry required for new start setup.
Partner with Internal HR for 401k and Benefits management.
Manage new starts tracker and VMS tool maintenance.
Enter and manage background and drug testing processes for contractors, partnering with Internal HR for any adjudication required.
Conduct I-9 Employment verification.
Audit all new hire paperwork and documentation in VMS and internal technology systems.
Ensure compliance with federal, state, and local employment laws.
Visit client sites to complete onboarding materials when applicable.
Ensure a smooth handoff of contractor relationships to Employee Relationship Specialists.
Essential Skills
Strong customer service and people skills.
Beginner -level Excel experience (no pivot tables or formulas).
Strong organizational skills.
Proficiency in MS Office Suite.
Ability to work effectively as part of a team.
Ability to work fully remotely.
Additional Skills & Qualifications
Recent experience with onboarding candidates, new hire paperwork, and handling I-9s is preferred.
Experience with systems such as Service Hub, E-Recruit, Beeline (VMS), I-9 Advantage, and E-Staff is a plus.
Pay and Benefits
The pay range for this position is $19.00 - $19.00/hr.
